Administrative Assistant

Vaco Charlotte

Our client is seeking a polished and highly motivated Administrative Assistant to support the President in a fast-paced, dynamic environment. This is an excellent opportunity for someone who is organized, proactive, and thrives while managing multiple priorities in a high-energy office setting.



Key Responsibilities

  • Provide direct administrative support to the President, including calendar management, scheduling, and coordination of meetings and calls
  • Serve as a primary point of contact for suppliers and vendors, maintaining strong communication and timely follow-up
  • Enter, update, and maintain customer service information accurately within ServiceNow and other internal systems
  • Perform data entry and maintain organized, accurate records and reporting
  • Order and maintain office supplies, ensuring the office remains fully stocked and organized
  • Assist with daily office operations and provide additional administrative support as needed
Qualifications
  • Associate's degree required
  • 2-3 years of administrative, office support, or customer service experience
  • Strong customer-facing and communication skills with a professional, service-oriented approach
  • Experience with data entry and maintaining accurate documentation and records
  • Familiarity with ServiceNow or similar CRM/ticketing systems isa plus
  • Proficient in Microsoft Office Suite, including Outlook, Word, and Excel
  • Ability to work onsite Monday-Friday

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
