Facilities Operations Assistant

The Facilities Operations Assistant provides day-to-day operational support for College facilities by assisting with space and furniture management, facility inspections, work order administration, inventory control, and routine building support activities. This position helps maintain safe, functional, and organized learning and work environments by performing non-technical facility support tasks, identifying and reporting maintenance needs, and assisting with departmental moves, renovations, and space improvement projects. The Facilities Operations Assistant works closely with the Facilities Manager, faculty, staff, students, contractors, and the Facilities Management Division (FMD) to support efficient facility operations and occupancy needs while ensuring compliance with applicable safety requirements and University policies.

Knowledge of basic facilities operations and building support practices. Ability to safely operate hand tools, power tools, ladders, and related equipment. Ability to identify, troubleshoot, and report routine facility maintenance and operational issues. Strong organizational, time-management, and recordkeeping skills. Ability to prioritize and complete multiple assignments independently. Strong communication and customer service skills. Ability to maintain compliance with University policies, procedures, and applicable safety requirements. Ability to establish and maintain effective working relationships with faculty, staff, students, contractors, and other stakeholders. Basic computer skills and ability to use work order and inventory management systems.

Lift, carry, push, and pull up to 75 pounds regularly and more with assistance. Stand, walk, bend, kneel, climb, and work in confined spaces for extended periods. Comfortable working on ladders, scaffolding, rooftops, and elevated work platforms. Work indoors and outdoors in varying weather conditions. Driving as needed to perform job duties.

Duties/Responsibilities - Facilities Operations: Assist with coordination of office moves, furniture relocations, and workspace setup activities. Assist with deliveries and placement of furniture, equipment, and supplies for the College. Move, arrange, and install office furniture, equipment, and supplies for new employees, departmental relocations, and special events. Assemble and disassemble office furniture, shelving, and workstations. Install and replace non-technical building accessories, signage, whiteboards, bulletin boards, and similar fixtures. Provide routine facility support tasks such as replacing accessible light bulbs, tightening loose hardware, replacing batteries, addressing minor cosmetic deficiencies, etc. Conduct basic troubleshooting of facility-related issues and submit requests for repairs requiring technical expertise. Report facility issues related to plumbing, electrical, HVAC, and building systems through appropriate processes. Assist with response efforts during facilities-related emergencies and urgent building issues. Maintain tools, equipment, storage areas and workspaces in a clean, safe, and organized manner. Assist with laboratory set-up and closure activities while ensuring compliance with safety requirements and protocols. Prepare offices, laboratories, classrooms, and common areas for maintenance, renovation, and construction activities. Provide support for departmental space improvement projects and coordinate access for contractors, vendors, and Facilities Management personnel.

Duties/Responsibilities - Administrative: Receive, submit, track, and maintain records for facilities-related work orders, inspections, repairs, and maintenance activities. Maintain inventories of furniture, equipment, tools, keys, and facility-related supplies; monitor stock levels and assist with replenishment. Identify, inventory, tag, and coordinate the transfer, pickup, or disposal of surplus property in accordance with University policies. Receive, store, distribute, and organize facility-related equipment, materials, and supplies. Maintain facility asset records, equipment locations, logs, and other facilities documentation. Assist with scheduling facility access for deliveries, repairs, inspections, and service activities. Provide administrative and operational support to the Facilities Manager, including data collection, reporting, and special projects.

Duties/Responsibilities - Inspections and Monitoring: Conduct routine inspections of offices, laboratories, common areas, storage spaces, and exterior areas to identify maintenance, safety, and operational concerns. Inspect AEDs and other designated safety equipment and maintain required inspection documentation. Identify, document, and report facility issues requiring repair, maintenance, or corrective action. Follow up on reported deficiencies and work orders to support timely resolution. Safely operate ladders and other approved equipment while conducting inspections and assigned facilities support activities.

Duties/Responsibilities - Other Duties: Assist the Facilities Manager with special projects and departmental initiatives as assigned. Follow applicable safety requirements, OSHA guidelines, and University policies and procedures. Participate in required training and professional development activities. Perform other job-related duties as assigned.
