Admissions Assistant

Ivy Tech Evansville seeks an Admissions Assistant to support the on campus Enrollment Center. The admissions assistant will be responsible for all clerical and administrative support related to admissions on campus. This includes providing routine clerical support to the admissions office. This is an in person role based on the Evansville campus.

Essential Responsibilities:

• Serve as the primary point of contact for students, visitors, and community members through the campus information desk.
• Greet and register campus guests, verify purpose of visit, and direct individuals to appropriate departments.
• Maintain good public relations and a professional image for the services that are provided through the office.
• Answer telephone and greet visitors by transmitting requested information, document messages, and route information to appropriate personnel.
• Receives incoming mail and prepares outgoing mail.
• Maintain calendars, schedule appointments, and support designated on-campus and virtual meetings and workshops including follow-up as needed.
• Assist with the planning of admissions and enrollment events, meetings, and conferences including facility reservations and set-up, catering arrangements, audio-visual requests, securing overnight rooms, reservation lists, and nametag creation.
• Coordinate travel arrangements and reservations as needed.
• Order office and event supplies.
• Process financial documents (check requests, purchase requisitions, travel, etc.) and ensure timely completion.
• Proof admissions printed and electronic documents.
• Maintain privacy and FERPA compliance.

Other Responsibilities:

• Provide cross-trained backup coverage for the Enrollment Center during peak periods, staff absences, or high-volume student traffic.
• Assist Enrollment staff with overflow tasks such as student intake, document processing, and appointment scheduling when needed.

Hiring Range:

• This role is budgeted between $16.00 and $17.00 per hour based on experience and qualifications.

Work Hours:

• Typical business work hours, may be adjusted during peak times.

Minimum Qualifications:

• An Associate's degree is required.
• Excellent computer skills and knowledge of spreadsheets and word processing required.
• Must be able to maintain proficiency and competency in administrative support procedures with the ability to determine priorities.

Preferred Qualifications:

• Experience with Banner SIS, Salesforce CRM, and Microsoft Office suite, including Word, Excel, Outlook and Forms
