Assistant Director, Student Involvement

The Office of Student Involvement (OSI) cultivates a vibrant andinclusive campus community by empowering students and studentorganizations through leadership development, collaborativeprogramming, fiscal responsibility, and meaningful traditions. Theoffice serves as a central resource for extracurricular engagement,supporting over 200 student groups and coordinating signatureevents from New Student Orientation to Senior Week that fosterconnection, celebration, and a strong sense of belonging. Reporting to the Director of Student Involvement, the AssistantDirector supports and advises Wesleyan student leaders and assistsin the coordination of student-initiated campus events. TheAssistant Director also helps to prepare students to be active andeffective leaders and event planners. This position contributes todepartmental planning and supports the implementation ofestablished policies and procedures related to student programmingand events. Responsibilities for the position include:
STUDENT ADVISING
Advise student event planners with program planning, roomreservations, budgeting, and Wesleyan contracting. Work with other administrative and academic departments toenhance campus programs and increase collaboration on campus. Provide advising and support to student leaders, includingmembers of the Wesleyan Student Assembly. Assist with addressingstudent issues and concerns, facilitate referrals asnecessary. Develop contacts with student leaders and encourage activestudent participation in the planning and implementation of campusprograms. Provide workshops and trainings to student group leaders onevent planning procedures and strategies.PROGRAMS & ORIENTATION
Assist in the organizing and planning of New StudentOrientation (NSO) programs by serving as a member of the CampusWide Planning Team. Assist with the hiring, supervision, and training ofOrientation Interns and Orientation Leaders. Book spaces and coordinate with campus partners and serviceproviders for implementation of all Orientation programs andactivities. Supervise and coordinate late-night social events during newstudent orientation, ensuring a safe, inclusive, and engagingenvironment for all participants, while managing logistics, staff,and participant behavior. Plan and implement Wesleyan’s Week of Welcome by coordinatingwith service providers and working with campus partners / studentgroups on their hosted events. Lead the planning, and coordination of university-widelate-night/substance-free programming with the Cardinal ProgrammingBoard.ADMINISTRATIVE & OPERATIONS
Review and approve student event submissions. Serve as primary liaison between student groups,departments/offices, and external partners for event needs, such asPhysical Plant support, IMS A/V support, Public Safety support,furniture rentals, etc. Create layout diagrams for event setups through MicrosoftVisio. Draft and execute contracts for student group events, asneeded. Co-Manage the Student Programming Fund, Leadership, andProgramming budgets with the other Assistant Director, includingtracking expenditures. Manage Wesleyan Student Assembly (WSA) elections process withthe WSA Chief of Staff, including reviewing election ballot drafts,gathering eligibility lists, and verifying votes. Serve as Campus Administrator for web-based student engagementdatabase, WesNest and conduct training for campus users. Support coordination with ITS on the maintenance and upgradesto the WesNest / Engage API migration to EMS (Event ManagementSystem) Database. Maintain the student reservation template in the EventManagement System Database and serve as liaison to the Events andConferences Office regarding administrative processes. Assist with the collection and use of data to support programassessment and effectiveness. Assist in coordination of major university events such asOrientation, Spring Fling, and Senior Week. Serve as resource for students, University personnel andexternal partners. Facilitate referrals to appropriate academic and/oradministrative departments as necessary. Conduct research and benchmarking as necessary. Represent the Office of Student Involvement on designatedcommittees as assigned. Develop web-based resources, research new technologies forstudents to reference for event planning and leadershipdevelopment. Assist with the maintenance of the Department website.SUPERVISION
Recruit, select and supervise Cardinal Programming Boardresponsible for alternative campus wide programs and events. Assist Director in supervising Concert Committee studentmembers who are responsible for the planning and executing ofmusical events by off-campus artists.RISK MANAGEMENT
Support the implementation of established risk managementpractices for student groups. Support the implementation of policies and procedures relatedto risk for student events. Assist in reviewing student event documentation for alignmentwith University polices and guidelines and report concerns asneeded. Recognize student concerns or situations that may requireescalation and refer them to the Director or Dean of StudentsOffice. Assist in processing and maintaining student group Travel Formsand Incident Reports and escalate concerns as appropriate. On Campus: This position is required to work on campus. (Relocation assistance to CT is available for those whoqualify).MINIMUM QUALIFICATIONS:
Bachelor’s degree and two years of related experience, or anequivalent combination of education, training, and experience inhigher education, student engagement, event planning, or a relatedfield. Experience advising or supporting student leaders, studentorganizations, or comparable groups. Experience planning and executing programs or events, includingcoordination of logistics, vendors, and timelines. Experience developing or delivering training, workshops, orpresentations. Experience managing administrative processes, systems, orworkflows in a fast-paced environment. Experience using database systems or technology platforms tosupport program or organizational operations. Demonstrated ability to identify issues, exercise soundjudgment, and escalate concerns appropriately. Experience working collaboratively across departments or withmultiple stakeholders. Strong communication and organizational skills, with theability to manage multiple priorities. Commitment to working with and supporting individuals fromdiverse backgrounds. Ability to work evenings and weekends as required.PREFERRED QUALIFICATIONS:
Master’s degree in Higher Education or related field. Previous experience in student activities, student affairs, orhigher education administration. Demonstrated experience inadvising student group event planning. Working knowledge of studentdevelopment theory. Experience in working with students of colorand other affinity groups. Previous budget management experience. Experience with software including, EMS, Engage, Cascade andWorkday. Experience creating and implementing Leadership Developmentprograms and trainings.
