West Bay Club:

Nestled in the heart of Estero Bay, near the Gulf of Mexico, West Bay Club is a member-owned gated community and private golf club encompassing nearly 900 acres - 500 of which are dedicated to conservation. The community boasts 790 residences, including estate homes, high-rise condos, and villas, all set amidst lush tropical landscaping and bordering Estero Bay and Gulf of Mexico. West Bay recently underwent a $50 million renovation of the club amenities and golf course.

Located in the picturesque surroundings of West Bay's community, the Bay House facility includes a resort-style pool, state-of-the-art fitness center, spa, culinary academy, card and meeting rooms, and the Aqua Café offering both indoor and outdoor dining. West Bay's tennis facility offers center court viewing on all eight Har-Tru courts. Additionally, the Sports Park offers six pickleball courts, two bocce courts, and a dog park. Residents also enjoy kayaking, canoeing, boating, and fishing all from the West Bay River Park's on-premises dock, featuring a private boat launch and boat storage.

A unique feature of the community is West Bay's private Beach Club, which underwent a complete reconstruction, completed in March 2024. Residents enjoy direct access to their beachfront club along the Gulf of Mexico, complete with a full-service restaurant, valet service, and dedicated beach attendants providing beach service.

Within the community, the West Bay Golf Club is anchored around its 18-hole championship golf course. Designed by esteemed golf course architects Pete and PB Dye, renovated by Fry-Straka, golf enthusiasts seek out West Bay to experience its unique and challenging design. The Golf Club is home to multiple dining venues that range from casual dining, including the Niblick Grille and Signature Bar, to fine dining at the Golf House. The club offers a maximum of 300 golf memberships, 150 social memberships, and currently has a wait list. While the club remains open year-round, the peak of member activity is from November through April.

About the Position:

The Clubhouse manager will serve as a key operational leader with primary responsibility for the strategic oversight and day-to-day leadership of all Food & Beverage, clubhouse, events, Beach Club and member-service operations. The successful candidate will be a polished, energetic, and relationship-driven leader who will foster a positive culture anchored on professionalism, accountability, and continuous improvement.

This individual will have a proven track record in delivering exceptional dining and social experiences, be comfortable engaging with members, mentoring managers, analyzing financial performance, overseeing major events, and supporting the service team during peak operating periods. The candidate will be a visible leader and committed to championing a culture of anticipatory service, culinary excellence, and meticulous attention to detail, ensuring that every member and guest interaction reflects the club's commitment to distinction and personalized hospitality.

Key Responsibilities:

Clubhouse Manager Responsibilities:

• Serve as a trusted partner to the General Manager, who will handle day-to-day operations.
• Participate in leadership meetings, strategic planning, budget development, and capital planning.
• Provide accurate, timely, and thoughtful reporting regarding departmental performance, member feedback, staffing, and operational priorities.
• Represent the Club professionally in interactions with members, vendors, community partners, industry organizations, and governmental agencies.
• Remain current on private club, hospitality, culinary, labor, technology, and service trends.
• Visible leader, focused on empowering the team to execute via clear direction, consistency and who will provide hands-on support as needed to ensure successful outcomes.
• Administers Club policies and procedures as established by the Board or management.
• Plans, develops and approves operational policies, programs, procedures and methods in concert with general policies.
• Ensure Club policies, operating standards, and applicable local, state, and federal requirements are consistently followed.
• Establishes and monitors compliance with Procurement purchasing policies and procedures.
• Maintains and fosters relations with local authorities and governmental agencies.
• Performs research and competitive analysis on local market to support and lead continuous improvement initiatives.
• Provides leadership, guidance and accountability to the housekeeping, valet and others, as assigned.
• Assumes additional Club-wide leadership responsibilities as assigned.

Food & Beverage Leadership & Excellence:

• Provide visionary leadership across all dining venues, bars, event operations, social programming, private events, and club-sponsored functions.
• Work closely with the Executive Chef and culinary leadership to ensure consistency in food quality, presentation, menu development, and service execution.
• Curate and oversee a refined beverage program, including:
  • Thoughtfully selected wine, spirits, and cocktail offerings
  • Inventory management and cost controls
  • Menu engineering and pricing strategies aligned with a luxury experience
• Oversee menu reviews, pricing strategies, beverage selections, and service concepts in collaboration with culinary and executive leadership.
• Establish and maintain clear service standards for casual dining, upscale dining, beach service, pool service, banquets, and special events.
• Ensure seamless execution of member dining, private events, and club gatherings, with an emphasis on elegance and consistency.
• Ensure that all food and beverage operations comply with applicable health, sanitation, liquor, and workplace-safety requirements.
• Maintain a strong presence during dining periods, major events, weekends, holidays, and other high-volume periods.

Member Experience & Hospitality:

• Serve as a highly visible and approachable presence throughout all the Club's venues.
• Build meaningful relationships with members and develop a keen understanding of their preferences and expectations.
• Cultivate a culture of personalized, anticipatory, genuine and relationship-driven hospitality.
• Ensure that member and guest interactions consistently reflect West Bay Club's standards of professionalism and hospitality.
• Address feedback with discretion, professionalism, and urgency, ensuring member satisfaction at all levels.
• Analyze member comments, utilization patterns, surveys, and service trends to identify opportunities for improvement and to proactively address wants and needs.
• Work collaboratively with the Board, Club committees and leadership to anticipate preferences, recognize patterns, and create memorable experiences.
• Drive continuous improvement through thoughtful analysis of member insights and service trends.

Team Leadership & Culture Development:

• Recruit, onboard, train, mentor, evaluate and retain a high-caliber service team committed to excellence.
• Create a professional workplace culture based on respect, communication, teamwork, accountability, and hospitality.
• Lead, develop and inspire department heads including Food & Beverage Managers and other Service Teams including seasonal employees and H2B team members.
• Foster a polished, professional environment that reflects the standards of a premier private club and community.
• Establish structured training programs, service standards, pre-shift meetings, and clearly set and articulate performance expectations, backed by ongoing monitoring and measurement.
• Develop managers and supervisors through coaching, delegation, succession planning, and meaningful performance feedback.
• Address employee concerns, performance matters, and workplace issues promptly and consistently.
• Develop staffing plans that support excellent service while maintaining appropriate productivity and labor controls.
• Collaborate with other department leaders to promote a unified, Club-wide service culture.

Financial Stewardship:

• Monitor financial reports/statements on a daily, weekly and monthly basis for the club and take effective corrective action to attain goals, when necessary.
• Participate in the preparation, development and execution of annual operating budget, capital budgets and business plans with an emphasis on attaining peak performance in all areas.
• Manage key performance indicators, including labor cost, productivity, cost of goods sold, beverage cost, inventory variance, departmental revenue, and operating expenses.
• Oversee accurate inventories of food, beverage, China, glassware, silverware, linens, equipment, and operating supplies in the departments.
• Maintain effective purchasing, receiving, storage, and inventory-control procedures.
• Evaluate business trends and member utilization to adjust staffing, hours of operation, menus, service models, and programming with a focus on preserving the integrity of the member experience.
• Ensure accurate documentation, reporting, payroll administration, scheduling, and departmental recordkeeping.

Club Events and Social Programming:

• Oversee the planning and execution of private events, golf functions, weddings, luncheons, meetings, banquets, holiday celebrations, and club-sponsored programs.
• Ensure timely and accurate preparation and distribution of Banquet Event Orders and related event documentation.
• Coordinate event logistics with culinary, service, facilities, golf, recreation, security, valet, and administrative teams.
• Review event calendars, room assignments, staffing plans, menus, décor, audiovisual requirements, vendor arrangements, and timelines.
• Participate in pre-event and post-event meetings to ensure clear communication and continuous improvement.
• Ensure events are executed with exceptional attention to detail and within approved financial parameters.
• Support the promotion of Club events and dining experiences to members.

Clubhouse & Facility Oversight:

• Ensure all dining, social and clubhouse spaces uphold exceptional standards of cleanliness, ambiance, and readiness.
• Partner with facilities and club leadership to maintain an environment that reflects the club's prestige and attention to detail.
• Monitor cleanliness, organization, ambiance, lighting, music, furnishings, signage, uniforms, and overall readiness.
• Partner with facilities and maintenance leadership to identify and resolve repair, maintenance, and capital needs.
• Assist with emergency response, safety procedures, incident reporting, and compliance matters.
• Coordinate with vendors, contractors, and service providers supporting clubhouse operations.

Required Skills & Qualifications:

• Bachelor's degree in hospitality management, business administration, food and beverage management, or a related field preferred. Equivalent professional experience will be considered.
• Minimum of five years of progressive leadership experience in a private club, luxury resort, fine-dining, upscale hotel, or comparable hospitality environment.
• Demonstrated success leading multi-outlet food and beverage operations, including private events, and seasonal operations.
• Private club experience is strongly preferred.
• Strong financial acumen, including experience with budgeting, forecasting, labor management, cost controls, inventory, and financial reporting.
• Excellent verbal and written communication skills; professional presence and customer service focus.
• Polished professional presence and the ability to interact effectively with different stakeholders.
• Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
• Working knowledge of point of sale (POS), club-management, scheduling, inventory, event-management, and Microsoft Office systems.
• Availability to work evenings, weekends, holidays, and peak seasonal schedules as required.

Preferred Credentials:

• Certified Club Manager designation or active membership in the Club Management Association of America.
• Florida Community Association Manager license.
• Certified Food Protection Manager or Florida Food Manager certification.
• Alcohol-awareness certification.
• Wine, beverage, or hospitality-industry certification.
• Experience with seasonal and international staffing programs.
• Experience with point of sale (POS) and club management systems.
