Greater Texoma Utility Authority (GTUA) is seeking a dynamic, detail-oriented, Executive Administrator to join our team of water and wastewater professionals. This position plays a vital role in supporting administrative operations and coordinating board activities to ensure the organization runs efficiently.

Supervision Received: The Executive Administrator works under the direct supervision of the Finance Officer.

Duties and Responsibilities: Duties and responsibilities include, but are not limited to the following:

·         Answer incoming telephone calls for GTUA and provide necessary information, assistance, or route calls to appropriate staff members.

·         Provide reception support for North Texas and Red River GCD.

·         Communicate telephone and visitor messages to appropriate personnel.

·         Greet visitors and notify staff of their arrival.

·         Prepare professional correspondence, memos, and other documentation as directed.

·         Compile and post monthly board meeting agendas for GTUA, NTGCD, and RRGCD.

·         Assemble monthly board meeting packets for GTUA, NTGCD, and RRGCD.

·         Generate memos for board meeting agendas.

·         Order and coordinate lunch for board meetings.

·         Deliver board packets to attorneys and specified board members when required.

·         Record and transcribe minutes during board meetings.

·         Ensure meeting documents are properly signed, sealed, and notarized when required.

·         Deliver deposits to banks and collect mail from post office box.

·         Delivers FedEx/UPS packages for shipment to respective stores as needed.

·         Responsible for records management.

·         Performs other duties as assigned by the General Manager, Administrative Manager, and Finance Officer.

General Qualifications:

·         High School Diploma/GED

·         Minimum 2 years of clerical or office administrative experience.

·         Experience with board meeting agendas is a plus but not required.

·         Proficiency with computers and standard office software.

·         Strong communication and organizational skills.

·         Ability to manage multiple tasks while maintaining attention to detail.

Work Requirements:

·         Must be able to work full time, 40 hours weekly.

·         Use of personal vehicle for occasional work travel (will be reimbursed at the current IRS rate).

·         Hourly Pay: $18.00-$20.00 (depending on experience)
