Job Summary
We are looking for a reliable and detail-oriented Facilities Administrative Assistant to support our facilities team. This is a great opportunity for someone seeking a flexible part-time schedule with a long-term assignment.
Responsibilities
- Perform Facilities P-Card reconciliation.
- Support E-Procurement (EPROC) purchasing activities.
- Collect and process utility invoices (water, natural gas, and electricity).
- Track utility usage and maintain reports.
- Process waste management and recycling invoices.
- Order coffee, cleaning supplies, and building paper products.
- Assist with Accounts Payable (AP) issue resolution.
- Manage preventive maintenance work orders.
- Provide backup support at the front desk.
- Manage postage meter activities.
- Process invoices using P-Card, Smart Process, and E-Proc systems.
Qualifications
- Previous administrative, office support, facilities, or accounts payable experience preferred.
- Strong organizational and multitasking skills.
- Proficiency with Microsoft Office, especially Excel, Word, and Outlook.
- Excellent attention to detail and communication skills.
- Ability to work independently in a fast-paced environment.
