Commercial Loan Assistant

Summary/Objective

Assists in the commercial loan department by processing commercial loan files, preparing loan documents needed to complete the files, and providing portfolio maintenance in accordance with the company's policy and procedures and in compliance with pertinent regulatory requirements. Provides support to the bank's Commercial Loan Officer.

Essential Functions

1. Processes new commercial loan files in the direction of the commercial lender, including document preparation; assistance with loan closing coordination; and data entry of file information into bank's core system. Ensures all information is accurate and in compliance. Tracks the new loan file from start to finish, insuring proper post-loan closing review has been completed; documents are scanned and indexed appropriately; and final hard copy files are filed correctly.

3. Balances General Ledger and Internal Accounts

4. Works with participation banks for purchased and sold loans at the direction of the commercial lender, including creating documents for participation loans, booking, applying payments to, and maintenance of.


5. Works with insurance companies and borrowers to keep records of current policies. Apply force placed insurance if needed.

6. Establish and maintain virtual files for loan documents.

7. Work with Title companies and flood programs to retrieve appropriate coverage.

8. Send and receive wires according to bank policy.

9. Manages the commercial loan file maintenance, including establishment of and updates to loan tickler system.


10. Maintains the commercial loan collateral file, including adding new entries and auditing existing entries. Ensure commercial loan collateral documents are properly recorded and filed. Releases collateral when appropriate.


11. Ensure loan payments and loan advances are processed accurately; processes rate changes and performs other updates to loans according to their terms and consistent with Commercial Loan Officer direction.


12. Provides loan payoff statements upon request and insures proper posting of funds. Manages the process of closing out a loan file.


13. Must comply with all company policies and procedures, applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.

14. Consistently demonstrates appropriate interpersonal communication skills with customers, coworkers, and outside vendors.


15. Follows all Unison Bank policies and procedures.


16. Regular and reliable attendance.


Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Physical Demands

This is a largely sedentary role. The employee is regularly required to remain in a stationary position. The employee is occasionally required to move about inside the office. The employee is regularly required to handle files and documents as well as regularly operate a computer and keyboard. The employee is regularly required to communicate with customers and other staff members and exchange accurate information in these situations. The employee is required to have close visual acuity to perform activities such as viewing a computer terminal and reviewing/inspecting documents.


Position Type/Expected Hours of Work

This is a full-time position.

Required Education and Experience

High school degree or equivalent and 2 years of loan processing experience; or 4-year college degree; or an acceptable combination of education and experience.


Preferred Education and Experience

3 years of administrative support experience and experience with various types of commercial loans. Strong knowledge of commercial loan documents and requirements; Wolters Kluwers Compliance One Lending experience is preferred. Proficient in FiServe products, including but not limited to FIS Premier and Director.
