The person in this seat is expected to build and level up the shipping team — hiring, training, setting standards, and raising the performance bar of the staff already in place — while simultaneously replacing informal habits with documented SOPs, defined KPIs, and shift-over-shift accountability. Success means the operation runs to a standard, at every site, on every shift, whether or not the manager is on the floor.\nThe role carries real regulatory weight. Shipments are subject to FDA, DEA, DOT, and HIPAA requirements, move under validated cold chain conditions, and frequently involve inventory with short expiration dating that must be managed on a FEFO basis. The Shipping Manager owns carrier strategy and day-to-day carrier performance across FedEx, UPS, and our courier and regional partners, and is accountable for on-time delivery and cost per shipment.\nThis is a hands-on floor role, not a desk role. When volume spikes, a shift is short-staffed, or a cutoff is at risk, the Shipping Manager is expected to get on the forklift, work a pack station, or stage and load alongside the team until the work is done. Candidates who see that as beneath the title are not a fit for this seat.\nThis position reports directly to the Executive Head of Operations and directly manages shipping supervisors, shippers, packers, and runners across both locations. Team structure is expected to evolve as the shipping organization scales.Core ResponsibilitiesMulti-Site, 24/7 Operations Leadership (~25%)\n\n Own daily shipping and fulfillment execution across the Davie and Miami Gardens locations, including nights and weekends, on a 24/7 coverage model\n Build and maintain shift schedules, coverage plans, and escalation paths so every shift has clear ownership and no site runs uncovered\n Ensure consistent execution site to site — the same process, the same standard, the same documentation regardless of location or shift\n Run daily and weekly operating rhythms (shift handoffs, huddles, performance reviews) that surface problems before they reach the customer\n Work the floor directly when the operation needs it — operate the forklift and pallet jack, pack and stage orders, and load trucks during volume spikes, staffing shortages, or at-risk cutoffs\nTeam Building, Development & Performance (~20%)\n\n Build the shipping team: recruit, hire, onboard, and train shippers, packers, runners, and supervisors\n Raise the standard of the existing team through structured training, certification on SOPs, clear performance expectations, and direct coaching\n Develop supervisors capable of running their own shifts independently, and create bench depth at every critical position\n Manage performance directly — recognize strong performers, address gaps quickly, and hold the team accountable to documented standards\nSOPs, KPIs & Process Design (~15%)\n\n Write, implement, and maintain SOPs across receiving, staging, picking, packing, cold chain packout, dispatch, returns, and exception handling\n Define and operate the department's KPI set — on-time dispatch, on-time delivery, order accuracy, temperature excursion rate, damages, cost per shipment, productivity per labor hour — with dashboards and a fixed review cadence\n Convert manual, undocumented, or person-dependent processes into repeatable, trainable, auditable procedures\n Lead continuous improvement initiatives that reduce errors, cycle time, and shipping cost without sacrificing compliance\nRegulatory Compliance & Cold Chain (~15%)\n\n Ensure shipping operations comply with FDA, DEA, DOT (including hazmat and dry ice handling), and HIPAA requirements\n Own cold chain execution end to end: qualified packaging configurations, pack-out procedures by lane and season, temperature monitoring, excursion investigation, and corrective action\n Maintain audit-ready documentation, chain of custody, and records for controlled and temperature-sensitive shipments; serve as the shipping point of contact during regulatory and client audits\n Partner with Pharmacy Operations, QA/QC, and Compliance to ensure shipping practices reflect current regulatory and client requirements\nCarrier Management & On-Time Delivery (~10%)\n\n Own relationships and day-to-day coordination with FedEx, UPS, USPS, DHL, regional carriers, and same-day courier partners\n Manage carrier performance against service-level commitments; run claims, service failures, and escalations to resolution\n Design routing and service-level strategy by lane and product type to hit same-day and next-day delivery commitments at the lowest defensible cost\n Support carrier rate discussions, pickup scheduling, cutoff times, and capacity planning around volume peaks\nInventory, Short-Dated Stock & Cross-Functional Coordination (~10%)\n\n Manage shipping-side inventory accuracy: packaging and cold chain materials, consumables, and finished product staged for dispatch\n Operate FEFO discipline on inventory with short expiration dating; monitor dating exposure and coordinate with Procurement, Pharmacy Operations, and Finance to minimize expiry write-offs\n Use inventory and shipping systems as the system of record; maintain clean data, cycle counts, and reconciliation of shipping-related inventory\n Coordinate with Billing/Invoicing on order details, with packaging suppliers on material availability, and directly with major client accounts on shipment status and escalations\n\nRemaining ~5% reserved for administrative tasks and training.How Success Is Measured\n\n On-time dispatch and on-time delivery rates, including same-day commitments, at both sites\n Shipping accuracy and rework/reship rate\n Cold chain performance: temperature excursion rate and time to close excursion investigations\n Compliance outcomes: zero avoidable FDA/DEA/DOT/HIPAA findings; audit-ready documentation maintained year-round\n SOP coverage and staff certification against those SOPs; KPI dashboards live and reviewed on a fixed cadence\n Team health: coverage on all shifts at both sites, reduced turnover, supervisors running shifts without escalation\n Cost per shipment and expiry-related write-offs trending down\nQualifications\nRequired\n\n 5+ years in shipping, distribution, or fulfillment operations, including 3+ years managing teams; supervisor-of-supervisors experience strongly preferred\n Demonstrated experience running multiple locations and 24/7 operations, including shift coverage design and night/weekend accountability\n Proven track record building a team — hiring, training, developing supervisors, and raising the performance standard of an existing group\n Hands-on experience writing and implementing SOPs and defining and operating KPI/performance dashboards\n Working knowledge of FDA, DEA, DOT (including hazmat/dry ice), and HIPAA requirements as they apply to shipping regulated healthcare product\n Cold chain expertise: validated packaging, pack-out procedures, temperature monitoring, and excursion investigation\n Experience managing inventory with short expiration dating and FEFO controls\n Experience delivering against same-day and on-time delivery commitments in a high-volume environment\n Direct experience working with FedEx, UPS, and other carriers — service levels, cutoffs, claims, escalations, and performance management\n Hands-on user of inventory, WMS, or shipping software; strong Excel and reporting skills\n Ability to work on-site across both Davie and Miami Gardens and be reachable for a 24/7 operation\n Willingness and ability to perform hands-on floor work — operating a forklift, packing, staging, and loading — during peak volume, staffing shortages, or urgent deadlines\n Forklift certification, or the ability to obtain certification within the first 30 days\n Ability to stand, lift, and work on a shipping floor for extended periods\n\nPreferred\n\n Associate's or Bachelor's degree in logistics, supply chain, business, or a related field\n Pharmacy, pharmaceutical, specialty/mail-order, or other regulated healthcare shipping experience\n Experience with DEA-registrant shipping controls and controlled substance handling\n Familiarity with pharmacy billing/invoicing processes\n Experience managing packaging supplier and vendor relationships\n Lean, Six Sigma, PMP, or similar process improvement training\n Bilingual (Spanish/English)\n Additional warehouse equipment certifications (reach truck, order picker, pallet jack)\nCore Competencies\n\n Builder mentality — creates systems, teams, and standards rather than inheriting them\n Raises the bar on the people around them; The pace is driven by daily dispatch cutoffs, carrier pickup windows, same-day delivery commitments, cold chain requirements, and client service levels. The Shipping Manager divides time between the shipping floor at both sites and desk-based planning, reporting, and coordination, and will work closely with Pharmacy Operations, QA/QC, Procurement, Billing/Invoicing, IT, Finance, carrier partners, packaging suppliers, and executive leadership. Regular travel between the two locations is required.
