Under general supervision of the School Director, the Administrative Specialist will provide academic, HR, finance, and support services to faculty, staff, and students within the School. The role ensures smooth operations of the School through the application of institutional policy, procedures, rules, and regulations. The Specialist works closely with directors, support assistants, and university colleagues to facilitate student and program success. Responsibilities Academic and Financial Support (70%) Serve as the primary point of contact for the School and its programs with non‑School offices (Admissions, ACAC, Communications and Marketing, Advancement, Student Life, Registrar’s Office, Student Financial Services, etc.) to promote operational efficiency and communication. Participate in monthly leadership meetings with OAA; collaborate with the Director to address operational and academic needs. Plan course schedules, including faculty and teaching‑assistant assignments; build faculty workload and overload reports for OAA. Manage low‑enrolled courses, coordinating with OAA and communicating cancellations to the Registrar, instructors, and affected students. Assist with creation of School and programmatic work plans and support academic‑program activities such as program reviews and fee management. Support onboarding of new full‑time and part‑time faculty; plan monthly School‑wide meetings and retreats with the Academic Operations Manager. Provide budget oversight: manage requests, write and facilitate SPA/MOU contracts, and coordinate budget planning and management with the AOM. Maintain an online repository of records required for program accreditation and assessment; develop and manage the School’s SharePoint site for internal communications and project management. Provide schedules to the AOM for entry into the PSU scheduling platform and review schedules before registration. Manage responsibilities associated with the assigned location, coordinating with the AOM if both specialists are in different buildings. Student Support (20%) Potentially serve as an Academic Advisor for new and continuing majors in appropriate programs (subject to Provost or Associate Provost approval). Support and manage curricular changes with the school Director; stay current with best practices and tools for student support. Act as signatory authority, together with the School Director, for student requests, change of majors, academic minor/certificate declarations, etc. Serve as first point of contact or support the Director on student and faculty complaints, fair grading, and academic integrity violations. Admissions, Enrollment Management, and Retention (10%) Support program faculty participation in admissions events (Open Houses, Accepted Student Days, etc.). Assist the Undergraduate and Graduate Admissions, Enrollment, and Retention initiatives of the School. Collaborate with Admissions on student materials, tours, and enrollment planning for graduate and undergraduate offerings. Requirements High School diploma and at least two years of administrative support experience in any setting. Excellent interpersonal, collaborative, and communication skills with faculty, staff, students, and external stakeholders. Ability to work independently and as part of a team in a high‑volume, fast‑paced environment with frequent changes. Strong problem‑solving, customer‑service, and professional conduct. Confidentiality, effective written and oral communication, and budget‑management support. Proficiency with Microsoft 365 Suite; willingness to learn ERP systems such as Banner and Workday. Self‑motivation and commitment to continuous improvement. Preferred Qualifications Five years of support experience with a high school diploma, or a Bachelor’s or higher degree with academic support experience in higher education. Office management experience. Compensation Pay Range: $20.15 – $33.15 per hour. Actual offer will be based on skills, qualifications, experience, and internal equity.
