Job Summary

The Sales Coordinator is the central connection between customers, Comfort Advisors, Service Technicians, and the Installation Team. You will help ensure opportunities are qualified, appointments are scheduled strategically, quotes are followed up on, and projects move smoothly from lead to installation.

Lead Management & Qualification

• Manage inbound sales leads and customer inquiries.
• Qualify prospects and gather information about heating, cooling, and home comfort needs.
• Answer initial customer questions and ensure a seamless handoff to the appropriate sales professional.
• Track lead sources, conversions, and sales opportunities within ServiceTitan.
• Process AHS authorizations and documentation to ensure jobs are properly approved and scheduled.

Strategic Scheduling & Sales Coordination

• Schedule appointments for Comfort Advisors based on availability, expertise, and customer needs.
• Match the right advisor to the right opportunity to maximize conversion success.
• Manage and maintain the sales dispatch board.
• Coordinate scheduling changes and proactively communicate updates to customers and team members.

Quote & Opportunity Management

• Prepare and manage customer quotations with speed and accuracy.
• Follow up on large, open, and strategically important quotes.
• Track pending opportunities and help move projects toward a purchasing decision.
• Maintain accurate customer, opportunity, and project information within ServiceTitan.

Customer Communication

• Serve as the primary liaison between the customer, sales team, and installation department.
• Send appointment confirmations and reminders.
• Deliver a professional, high-touch experience throughout the customer journey.

Technician & Advisor Support

• Train and coach Service Technicians on identifying and passing warm sales leads to the Comfort Advisor team.
• Support consistent lead-transfer processes between departments.
• Help ensure no sales opportunities fall through the cracks.

Pre-Installation Coordination

• Coordinate sold jobs with the Installation Coordinator and Manager and operations team.
• Verify financing approvals, equipment availability, and installation requirements.
• Ensure all pre-installation tasks are completed before the scheduled install date.
• Assist in creating a seamless transition from sold project to completed job.

• Exceptional organizational and multitasking abilities.
• Strong written and verbal communication skills.
• High attention to detail and process accuracy.
• Ability to prioritize effectively in a rapidly changing environment.
• Strong customer service and relationship-building skills.
• Comfortable working in ServiceTitan, Microsoft Outlook, Microsoft Teams, and Power BI.
• Mechanical aptitude and willingness to learn HVAC products and solutions.
• Ability to work independently while collaborating across multiple departments.
