Business Office Administrator / Executive Assistant

The Brennan Group

The Brennan Group is a specialized business tax consulting firm focused on sales and use tax, real estate tax, and personal property tax strategy. We are seeking a Business Office Administrator / Executive Assistant to provide comprehensive administrative support to the President, oversee daily office operations, and serve as a reliable point of contact for clients and vendors. This role requires professionalism, strong organizational capabilities, sound judgment, and the ability to anticipate needs in a dynamic environment. Position Overview The individual in this role will support executive-level activities, manage office operations, and assist with client communication and light sales administration. This position requires a polished communicator who can represent the firm effectively, maintain confidentiality, and ensure that leadership remains focused on strategic and revenue-generating priorities. This is a hands‑on role suited for someone who is proactive, adaptable, and capable of managing multiple responsibilities with minimal oversight. The position will also provide coordination support to the firm’s future Sales Manager once hired. Key Responsibilities Executive Support Manage the President’s calendar, appointments, and internal deadlines. Prepare correspondence, documents, and meeting materials with accuracy and professionalism. Anticipate needs, assist with prioritization, and ensure timely follow-through on commitments. Maintain confidentiality and exercise discretion in all interactions. Client and Communication Support Serve as a professional and courteous point of contact for clients when leadership is unavailable. Respond to general inquiries, gather necessary information, and elevate matters appropriately. Maintain a polished communication style across phone, email, and in‑person interactions. Office Administration Oversee daily office operations, including supplies, vendor coordination, and general organization. Manage scanning, filing, document preparation, and data entry. Ensure the office environment remains efficient, organized, and well‑maintained. Sales and CRM Support Maintain accurate CRM records (Zoho), update pipelines, and generate basic reports. Assist with light sales administration, including research, scheduling, follow‑ups, and client touchpoints. Support leadership by handling routine inquiries and enabling focus on business development. Team and Integrator Support Provide scheduling, reporting, and coordination support to the future Sales Manager. Assist with internal communication and cross‑functional task alignment. Project Coordination Support small projects by tracking tasks, following up with vendors, and ensuring timely completion. Maintain spreadsheets, reports, and documentation to support operational efficiency. Qualifications Required Demonstrated experience in administrative support, executive assistance, office management, or client‑facing roles. Strong organizational skills with the ability to manage multiple priorities. Professional communication skills and confidence interacting with clients and senior leadership. Proficiency with Microsoft Office Suite and general office technology. Ability to work independently, maintain composure, and adapt to changing needs. Brings a positive energy and passion for the role. Preferred Experience in tax, accounting, real estate, or related professional services environments. Familiarity with CRM systems (Zoho preferred). Experience supporting executives or managing office operations. Comfort with basic reporting or sales support tasks.
