About the Team Our Real Estate team takes on the task of finding and managing over 1,600 stores, DCs, and offices. Their scope is pretty big, as we are a multi-national retailer with over 1,600 leased stores, offices, and distribution centers in the US, Canada, Puerto Rico, and Hong Kong. The team also supports new store growth through market analysis and research with the industry’s best data resources and analytical tools. In addition to supporting the stores, we work directly with the Real Estate Legal, Facilities, New Store Construction, and Finance teams. About the Location Collaborative Work Environment: At PetSmart, teamwork and connection are core to how we thrive. This role is based at our Phoenix Home Office, with an expectation of working a minimum of four days in the office each week. In a standard work week, associates may work up to one remote “flex day” (with leader approval). Our hybrid approach is designed to foster strong collaboration while also supporting flexibility and individual success. About the Job The Fixtures and Equipment Project Coordinator – Strategic Projects coordinates the fixtures and equipment lifecycle from planning through execution for vendor-completed installation projects. This role supports complex initiatives across multiple locations, ensuring fixtures and equipment are ordered, delivered, installed, and financially processed accurately and on schedule. The position is heavily focused on high-volume purchase order creation and invoice processing to support timely execution and clean financial closeout.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Coordinates assigned project fixturing activities including ordering fixtures and equipment, tracking shipments, maintaining project documentation, and monitoring spend vs. budget. Manages vendor performed fixture installations through scheduling coordination, readiness checks, and follow-up on execution items. Creates and manages a high volume of purchase orders (POs) for fixtures, equipment, and installation services, ensuring correct coding, supporting documentation, and required approvals. Processes and reconciles a high volume of invoices by validating charges, matching invoices to POs/receipts, coordinating issue resolution (pricing/quantity discrepancies, credits, re-bills), and partnering with AP/procurement to ensure timely payment. Partners with internal teams within the Phoenix Home Office to confirm requirements, ensure accurate orders, and support on-time delivery. Maintains working relationships with key stakeholders to identify needs and support business goals; assists in resolving issues such as backorders, short shipments, late shipments, and onsite scope changes. Tracks project execution against key milestones and budget targets; escalates risks, variances, and schedule impacts to project leadership as needed. Documents and communicates project requirements including scope, timeline, costs, and risks; maintains trackers, status updates, and project files. Interfaces with vendors and Store Managers and collaborates with construction and fixture set-up/merchandise project teams and other internal partners as needed. Coordinates with Transportation and Logistics partners for scheduling, delivery updates, and date changes to support project timelines. Supports vendor coordination across project phases (production, logistics, implementation, and closeout) for custom and non-custom fixtures and equipment. May visit project locations to verify fixtures, equipment, and décor are installed accurately and meet presentation/quality expectations. Communicates fixture information and changes to impacted stores and field partners to ensure alignment and readiness. Supports company goals and maintains professional relationships with associates, vendors, and manufacturer representatives. Assists with spend tracking and basic analysis; identifies potential cost-saving opportunities and shares recommendations with project leadership. Supports vendor sourcing activities as needed (quote collection, comparison support, documentation) and helps validate installation accuracy and completion for assigned locations. Assists with budget estimates and requested updates; tracks budgets based on assigned project scope. Up to 25% travel is required.BUDGET RESPONSIBILITIES
Supports budgeting and spend tracking for assigned lower‑budget projects across multiple locations. Typical scope: manages financial processing and tracking for projects within an assigned program/portfolio, generally up to $1M–$5M total annualized spend across multiple projects/locations (based on assignment).EXPERIENCE/EDUCATION REQUIRED
Associate’s or Bachelor’s degree preferred, and/or 2+ years’ experience in retail operations, project coordination, fixtures/equipment, facilities, or a related field. Working knowledge of SAP, Microsoft Access, and Microsoft SharePoint preferred; strong proficiency with Excel and tracking tools. Strong problem‑solving skills and ability to work independently in a fast‑changing environment. Ability to collaborate across multiple business units and communicate clearly with internal and external partners. Detail‑oriented with strong follow‑through; ability to develop practical solutions and produce high‑quality work.
