Altoona Administrative Assistant

:

Balance Autism is looking for a full-time Administrative Assistant to help coordinate administrative activities of Balance Autism to provide services in our children's clinics and community programs! We are looking for someone who is organized, detail-oriented, and able to prioritize tasks to do well with deadlines.

RESPONSIBILITIES:

  • Ensure the health and safety needs of the person(s) served are met
  • Manage reception area: including greeting visitors, answering phones, and relaying messages
  • Manage department specific training, including preparation of materials, communication of attendance, and entry of training records into training tracking system
  • Communicate professionally with legal representatives, families, and allied professionals
  • Manage credit card check out system for site
  • Completes second check for billing, maintains correction log, notifies employees of errors, manages log book, and checks content on notes
  • Provide tracking/trending report for incident reporting
  • Distribute ITP reports and other pertinent documents
  • Updates person served employee databases and electronic systems as necessary for site
  • Perform minor housekeeping duties in the administrative center
  • Scan all Notice of Decisions for site
  • Assist with preparing and maintaining staff ID badges/key check out system
  • Assist with training and onboarding of new staff, including training for new sites in CAP
  • Request and potentially assist with follow up on facility requests such as building needs regarding maintenance, bidding for grounds needs, scheduling regular building upkeep, contacting contractors for environmental needs.
  • Set up and run safety drills
  • Check payer eligibility monthly for all children funded through M-ABA for Children's Services
  • Responsible for inventorying and ordering office and programming supplies for site
  • Sort, process and distribute mail

SCHEDULE:

Monday through Friday 8:00am to 5:00pm

Qualifications

  • Education and/or Experience: Associate's degree or equivalent from two-year college with six months to one year related experience and/or training; Prefer Bachelor degree; or equivalent combination of education and experience. Option: Bachelor's degree in related field with direct care experience or internship in Human Services.
  • Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, s, business correspondence. Ability to effectively present information and respond to questions from groups of managers, person served, vendors, and the general public.
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Computer Skills: To perform this job successfully, an individual should have knowledge of Learning Management Software; Database software; Microsoft Office Suite software.
  • Valid Driver's License and Auto Insurance
