Job Overview The Operations Manager ensures JSAW runs with excellence behind the scenes. This role owns the organization's administrative systems, finances, human resources, fundraising operations, and organizational infrastructure so that the Executive Director and ministry staff can focus on The ideal candidate is highly organized, detail-oriented, and energized by building systems, improving processes and helping others succeed. They love creating order, managing projects, solving problems and ensuring nothing falls through the cracks. Pay & Hours Full Time – flexible schedule, some evenings preferred Responsibilities and Duties 1. Administration & Office Operations: Own the daily administrative functions of JSAW. Manage day-to-day office operations Support the Executive Director with administrative needs Manage the main organizational email account Prepare board packets and organizational reports Purchase office and program supplies Develop and maintain organizational policies and SOPs Coordinate organizational calendars and administrative projects 2. Finance & Accounting: Ensure JSAW's financial systems operate accurately and efficiently. Process payroll Enter donations and prepare deposits Coordinate with accountant and tax professionals Track budgets and departmental spending Generate monthly financial reports and dashboards Process reimbursements and accounts payable Ensure financial compliance and accurate record keeping 3. Human Resources: Build excellent systems that help staff thrive. Coordinate hiring and onboarding Maintain employee records Administer payroll, PTO and benefits Support annual performance review process Maintain employee handbook and HR policies Ensure compliance with employment laws Coordinate staff training and development4. 4. Fundraising Operations: Support fundraising through excellent systems and donor care. Process gifts and acknowledgements Manage recurring giving administration Support fundraising campaigns with logistics Assist donor events with registration and administration Track sponsorships and campaign results (This role supports fundraising operations. The Executive Director leads fundraising strategy and donor relationships.) 5. Organizational Systems : Own the systems that keep JSAW operating efficiently. Administer DonorPerfect Administer Planning Center Administer QuickBooks Administer Google Workspace Administer Asana Administer Shopify Improve workflows and processes Train staff on organizational systems 6. Retail Operations Support the success of Help Boardshop. Supervise the Retail Lead Review retail reports and KPIs Oversee inventory systems Coordinate purchasing and vendor relationships Support retail budgeting and profitability (The Retail Lead owns day-to-day merchandising, buying, and shop operations.) 7. Facilities & Organizational Support Ensure JSAW has the resources needed to operate safely and effectively. Coordinate facility maintenance and repairs Oversee insurance policies Coordinate building improvements Support fleet, trailer, and boat administration Ensure a safe and organized work environment Qualifications 3–5+ years of experience in operations, administration, nonprofit management, business administration, or a related field Strong organizational and project management skills Experience with accounting, bookkeeping, or financial administration Experience with HR administration High attention to detail Ability to manage multiple priorities Strong problem-solving skills High integrity and confidentiality Experience with QuickBooks Experience with DonorPerfect Experience with Google Workspace Passion for action sports and youth ministry #J-18808-Ljbffr JSAW
