About the Role:

The Senior Demo Project Coordinator is the operational lead for the day-to-day execution of CRI's Demo Program. Building on the foundation of the Demo Project Coordinator role, this senior-level position takes end-to-end ownership of demo project coordination: client communication, field team scheduling, work order creation, and the accurate, timely flow of demo documentation and transactional records.

As a senior individual contributor, this role sets the standard for how demo coordination work gets done and provides informal leadership and coaching to Installation Project Coordinators who assist with demo transactions. The Senior Demo Project Coordinator raises execution quality across the program, anticipates and prevents recurring issues, and helps onboard and develop others without holding formal supervisory authority.

This role works within the asset and inventory standards, systems of record, and audit processes owned by the Asset & Inventory Manager. The Senior Demo Project Coordinator executes transactional data entry and day-to-day demo photography within those standards, maintains client-facing records, and flags discrepancies to the Asset & Inventory Manager rather than owning reconciliation or data governance.

Given the hands-on nature of the demo program, this role balances administrative coordination with warehouse work to ensure the team accounts for and cares for all demo furniture properly. This role is eligible for our Flexible Workplace policy, where there is an expectation to work from our San Leandro office minimum of 3 day a week after successful completion of the Introductory Performance Period, and 4 days a week during.

Summary of Responsibilities:

Demo Program Execution & Coordination

• Serve as the operational lead for day-to-day execution of the Demo Program, ensuring projects are coordinated accurately, completely, and on time.
• Serve as the main point of contact for demo clients, managing communication with professionalism and sound judgment.
• Create work orders daily for the demo field team, clearly detailing scope of work.
• Email receiving reports of newly received product to clients, and report and photograph demo damages to clients.
• Upload receiving reports, pull lists, signed work orders, invoices, and all other demo-related documentation into work orders or master demo folders in a timely and organized manner.
• Anticipate downstream impacts across multiple demo projects and proactively resolve scheduling, documentation, and coordination obstacles.

Inventory & Documentation (within Asset & Inventory Manager standards)

• Maintain demo project records, spreadsheets, and client-facing inventory documentation in accordance with the standards, tagging conventions, and systems of record established by the Asset & Inventory Manager.
• Perform transactional data entry and day-to-day demo photography (including damage documentation and accurate product descriptions) within established standards.
• Create new inventories and supporting documents for new demo clients, following defined recordkeeping standards.
• Identify and flag inventory discrepancies to the Asset & Inventory Manager for reconciliation; support audits and data validation as requested, but do not own reconciliation or data governance.

Informal Leadership & Coaching

• Provide informal leadership and direction to Installation Project Coordinators who assist with demo transactions, ensuring consistent, high-quality execution.
• Coach and help onboard team members on demo coordination processes, documentation standards, and best practices.
• Serve as a go-to resource for demo coordination questions, modeling professionalism, accountability, and follow-through.
• Learn program management requirements from the VP, Field Operations during initial training, and grow into the primary day-to-day operational point of contact for the Demo Program.

Continuous Improvement

• Identify recurring friction in demo coordination workflows and recommend practical process improvements (templates, checklists, sequencing).
• Establish repeatable coordination rhythms (cadences, handoffs, clear ownership) that improve predictability and reduce rework.
• Support special projects and operational improvement efforts within the Demo Program.

Experience/Skills:

• 5+ years of relevant experience in project coordination, demo/furniture operations, customer service, warehouse operations, or a related field.
• Demonstrated ability to lead execution on multiple concurrent projects and to informally guide or coach others.
• Detailed, organized, flexible, and service-oriented, with the ability to multi-task, problem solve, and prioritize effectively.
• Excellent interpersonal skills to foster positive working relationships with clients and cross-functional partners.
• Strong time management and resource management skills.
• Strong written and verbal communication skills, with the ability to serve as a primary client point of contact.
• Demonstrated professionalism, integrity, and sound judgment in business transactions, with a commitment to the highest level of customer satisfaction.
• Proficiency with Microsoft Office 365, including Word and Excel; experience with inventory or project tracking systems (e.g., SnapTracker, AXWrap, IQ Coordinator) preferred.
• Bachelor's degree preferred.
• Physical Requirements

1. Ability to inspect, move, tag, photograph, catalog, and prepare demo inventory and assets.
2. Ability to lift, push, pull, or carry up to 50 lbs independently, and to safely lift heavier items with assistance, equipment, or warehouse support personnel.
3. Comfortable working in both office and warehouse environments.
4. Ability to stand, walk, bend, climb ladders, and perform inventory-related tasks as required.
5. Ability to travel between company facilities and project locations as needed.
