About the Development Team

The mission of the Development Team is to lead fundraising efforts for STG by cultivating an organization-wide sense of philanthropy, building and strengthening long-term relationships with external stakeholders, and creating a supportive, collaborative work environment for our team members.

Position Summary

The Development Relations & Events Coordinator reports to the Associate Director of Donor Relations & Events and supports planning and executing Development events, donor and sponsor engagement initiatives, fundraising activities, and STG’s annual fundraiser. This position earns between $24.71 to $32.12/hour (midpoint of $28.42/hour)

Essential Duties and Responsibilities

Events & Auction Support

• Coordinate donor and sponsor events for the Development team, including event supply inventory, event communications, CRM attendance tracking, coordination with internal operations staff, vendor contracting and invoicing, hosting guests and providing exemplary event experiences, event cleanup, and post-event debrief for internal and external participants.

• Serve as the primary point person for the DOORS Silent Auction and support general gala planning. This includes participating in planning meetings and leading silent auction procurement, packaging, and presentation. Manage the auction portion of gala software, including auction item descriptions, images, and item values. Lead night-of and post-event auction fulfillment and maintain year-round responsibility for tracking auction item inventory.

• Oversee and track inventory of all event supplies for donor and sponsor events, maintaining an organized storage space accessible to team members.

• Support staff at shows and special events in club lounges, premium ticket spaces, at Remlinger Farms with sponsor activations, and in the Ernestine Anderson Room on select evenings and weekends throughout the year, coordinating with all necessary staff, including house staff. Invest time to understand STG’s Education & Community Engagement work and other programming to be able to articulate STG’s mission to supporters.

Donor & Ticketing Services

• Manage the DOORS, Giving, and Donor Tickets email inboxes throughout the year, providing excellent customer service.

• Service ticketing requests for the Development Team as needed, and handle ticket fulfillment for the Telefund Campaign.

• Manage annual fund donor benefits fulfillment.

• Collaborating with Marketing and colleagues in Development to cultivate and attain new young donors through a targeted series of pre-show parties, special events, and communications.

• Coordinate special “surprise and delight” touchpoints, such as a handwritten note on a donor’s seat at a performance or a complimentary drink ticket and note included in a ticket envelope.

Administrative & Database Support

• Provide Salesforce database support related to events, including data entry and cleanup, while adhering to data protection standards and confidentiality.

• Assist the Development Team with donor cultivation and fundraising efforts; participate in brainstorming new, effective engagement and cultivation opportunities.

• Support the Development Team in reaching Diversity, Equity, Inclusion, and Access goals.

Qualifications

• Bachelor's degree or equivalent work experience

• Two years of experience in an administrative role; nonprofit office experience preferred

• One year of event coordination or customer service experience

• Demonstrated experience with data management and strong technological skills in Microsoft Office Suite; Salesforce knowledge preferred

• Basic design or editing skills (Canva, Photoshop, or Illustrator) a plus

• Flexibility and dependability to work evenings and weekends for STG events

• Excellent written, verbal, and interpersonal communication skills

• Highly organized, detail-oriented, and able to manage multiple projects and shifting priorities in a fast-paced environment while meeting deadlines and maintaining confidentiality

• A calm, resourceful problem-solver and self-starter who works well both independently and as part of a team, and is comfortable adapting to changing needs

• Knowledge of and interest in performing arts, historic theatres, and/or arts education preferred

Physical Requirements

• Vision — corrected vision close to 20/20 is necessary to effectively use a computer screen.

• Sitting/Standing/Walking — approximately 75% of time is spent seated at a desk; remaining time involves standing, walking, and moving throughout venues or event spaces during event setup/strike and hosting.

• Lifting/Carrying — ability to lift and carry heavy items such as cases of wine, for event setup, inventory management, and auction item handling.
