About the Role
A successful Payroll and HR/Onboarding Specialist will have a high level of personal time management, organizational skills, the ability to manage and prioritize daily workflow, and have the ability to effectively onboard new hires through clear, concise communication while exhibiting interpersonal skills that are compassionate, and team member friendly. The Specialist will provide HR support for team members at the home office.
Responsibilities
- Specialist will process multi-state biweekly payroll in the time and attendance/payroll system (Paychex) and perform tasks to maintain accurate team member payroll records.
- The Specialist is responsible for monitoring and auditing payroll submissions on a bi-weekly basis to ensure accurate payroll processing and to ensure compliance with company policy and state/federal regulations.
- Manages the Paychex Time and Attendance system validating, correcting, and processing accurate time stamps, PTO requests, and anomalies. Ensures electronic time sheets are accurate and approved timely by assigned manager. Ensures all payroll-related changes are processed in an appropriate and timely manner.
- Coordinates and ensures new hire data and team member changes are successfully transmitted to various benefit portals and platforms for HSA, Health Insurance, 401k, etc.
- Responsible for the accuracy of team member and payroll information submitted through Paychex (e.g. employee personal data, direct deposits, bonus pay, commissions, paid time off, holiday pay, 401k contributions, employer matching contributions, tax status, salary, voluntary and involuntary contributions, etc.) for compliance with established policies and regulatory guidelines.
- Ensure accurate and timely 401(k) funding and reporting, assist with annual 401(k) audits, and ensure compliance with ERISA and IRS regulations.
- Sets up and maintains team member payroll deductions related to garnishments or levies and verifies that proper vendor records are set up for timely remittance.
- Maintains team member electronic personnel files/records and payroll supporting documentation in Cloud based platform in accordance with established procedures.
- Performs periodic audits of payroll data to ensure accurate FLSA classification of employees as well as benefit eligibility.
- Reviews and verifies I9s for new and rehired team members ensuring ongoing compliance with federal and state regulations.
- Monitors Payroll email box to ensure proper resolutions are implemented and requests are processed in a timely manner.
- Provides weekly, time and attendance training to new hires, managers, and existing team members on desktop and/or Paychex mobile app.
- Prepares biweekly and ad hoc reports relating to payroll as required and requested.
- Collaborates regularly with human resources and finance.
- Monthly onboarding training for new hires on team member benefits, health insurance, health savings account, 401k, paid time off, and any other HR or payroll related questions or concerns.
- Address new hires queries regarding payroll and enrolling in health insurance through Employee Navigator.
- Ensure team members have a hardcopy of the Benefits Guide and 401k flyer. Direct new hires where the team member handbook is located and provide any state required documents or forms.
- Liaise with team members to address any issues quickly, along with answering general queries. Escalate larger HR concerns to the Director of Human Resources.
- Assist as needed to ensure technical assistance for properly setting up hardware/software for new hires.
- Work independently, react to change productively, and handle other essential tasks as assigned while exercising a high level of confidentiality.
- Enters monthly Journal Entries, coordinating with the Finance Team.
- Ensures local taxes are paid timely and accurately working closely with the Finance Team.
- Performs other related payroll duties and projects as assigned.
