Administrative Operations Manager

We are seeking an elite, high-ownership Administrative Operations Manager to lead our back-office operations and serve as the strategic co-pilot to our Production Manager. In our rapidly growing window and door business, you will own the entire administrative side of the house—from initial customer contact, scheduling, and billing to HR and payroll. Key Responsibilities Scheduling & Client Journey: Manage the customer lifecycle from contract signing to job closeout; partner closely with the Production Manager to align office scheduling with field installation timelines. Financial Operations & Payroll: Oversee progress billing, invoicing, accounts receivable, vendor payments, and bi-weekly payroll processing with 100% accuracy. HR & Team Administration: Own employee onboarding/offboarding, maintain HR records, manage benefits administration, and maintain time-tracking systems. Production Partnership: Coordinate directly with the Production Manager and scheduler to resolve scheduling conflicts, streamline material delivery timelines, and ensure field crews have accurate job details. Process & Systems Optimization: Continuously audit and improve our CRM, administrative workflows, and customer communication pipelines to remove operational bottlenecks. Qualifications & Requirements 5+ years of senior office or administrative operations management experience (residential construction or trade service experience preferred). Expert proficiency with field service management/CRM platforms (Jobber, ServiceTitan, etc.) and accounting software (QuickBooks). Exceptional organizational leadership with a track record of running tight billing and HR operations. Clear, assertive communication style that bridges the gap between back-office staff, customers, and field managers. Ability to lead small teams and hold team members accountable. Compensation & Benefits Base Salary: $80,000 - $90,000 Benefits: Full health benefits package including vision and dental, generous PTO, and 401(k) matching.
