We are seeking a detail-oriented and experienced Bookkeeper to join our administrative and financial operations team. This position is critical in ensuring the accuracy and integrity of our financial data and supporting the company’s continued growth and success.

Position Summary

The Bookkeeper will be responsible for managing day-to-day accounting functions, maintaining accurate financial records, and supporting financial reporting processes. The ideal candidate will possess extensive experience in bookkeeping within the HVAC, construction, or trade services industries, with a strong understanding of job costing, A/R and A/P management, and payroll processing.

Essential Duties and Responsibilities

• Maintain accurate general ledger and financial records in accordance with GAAP standards.
• Manage accounts payable and receivable, including invoice processing, vendor payments, and collections.
• Prepare and post daily deposits, reconcile bank and credit card statements, and manage cash flow.
• Accurately record and allocate job costs for materials, labor, subcontractors, and equipment.
• Process payroll and ensure accurate allocation of labor burden.
• Assist in preparation of monthly financial statements, including P&L, balance sheet, and cash flow reports.
• Coordinate with the company’s CPA to support quarterly tax filings and year-end reporting.
• Maintain compliance with local and state sales tax requirements.
• Ensure all accounting records, contracts, and supporting documentation are properly organized and stored.
• Support management with data-driven insights and financial reporting as needed.

Qualifications and Experience

• Minimum 3 years of bookkeeping or accounting experience ; HVAC, construction, or service industry experience preferred.
• Proficiency in QuickBooks Online required.
• Experience with FieldEdge, ServiceTitan, or similar field management software strongly preferred.
• Solid understanding of job costing, WIP (Work in Progress) reporting, and cost allocation .
• Strong analytical, organizational, and problem-solving skills.
• Ability to manage multiple priorities with a high degree of accuracy and professionalism.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
