Senior Executive Assistant – Direct Hire

Work Arrangement: Hybrid – In-Office & Remote (Charleston, WV)
Schedule: Full-Time with flexibility required for international business needs

United Talent Staffing is seeking an exceptional Senior Executive Assistant for a direct-hire opportunity to support a highly Business Advisor based in Charleston, WV.

This is a unique opportunity for a seasoned Executive Assistant who thrives in a fast-paced, high-level international business environment. The successful candidate will work closely with an executive who advises CEOs, C-suite leaders, and senior executives around the world, including business relationships throughout North America, Japan, China, India, Brazil, Africa, the United Kingdom, the UAE, and other international markets.

The Senior Executive Assistant will serve as the executive's primary point of coordination, managing a complex global calendar, international travel, executive communications, and relationships with senior-level contacts worldwide.

Key Responsibilities

• Manage a highly complex executive calendar involving multiple countries and international time zones.
• Coordinate meetings and appointments with CEOs, C-suite executives, executive assistants, and other high-level international contacts.
• Serve as a professional and polished representative of the executive office by phone, email, video conference, and in person.
• Develop and maintain strong working relationships with executive offices and business contacts worldwide.
• Coordinate detailed domestic and international travel arrangements, including flights, lodging, visas, ground transportation, meetings, and itinerary changes.
• Quickly respond to unexpected travel changes, scheduling conflicts, and urgent executive requests.
• Anticipate executive needs and ensure materials, schedules, documents, and other information are prepared in advance.
• Prepare executive correspondence, meeting briefs, summaries, and other professional communications.
• Maintain accurate records and follow-up information regarding meetings, contacts, travel, and ongoing priorities.
• Handle highly confidential business and personal information with professionalism and discretion.
• Provide personal and travel-related support as needed, including preparing, packing, shipping, and tracking travel materials such as clothing, medications, personal-care items, documents, electronics, and office supplies.
• Assist with additional executive office responsibilities and special projects as needed.

Qualifications

• 10+ years of progressive Executive Assistant experience, preferably supporting C-suite executives, senior consultants, business owners, or global executives.
• Previous experience supporting executives involved in international business strongly preferred.
• Exceptional verbal and written communication skills.
• Comfortable communicating directly with CEOs, senior executives, and executive offices around the world.
• Strong ability to remember and track important details, contacts, schedules, commitments, and follow-up items.
• Demonstrated experience coordinating complex domestic and international travel.
• Strong technology skills, including executive scheduling and calendar management platforms, virtual collaboration tools, and global time-zone coordination.
• Experience with ACT CRM preferred.
• Understanding of international business etiquette and cultural differences is highly desirable.
• Ability to maintain strict confidentiality and exercise sound judgment.

This position offers a hybrid work arrangement, combining remote work with time in the Charleston, WV office based on executive and business needs.

Because this role supports international business activities across multiple time zones, occasional availability outside traditional U.S. business hours will be required for urgent scheduling, communications, and travel changes.
