Job Summary
We are seeking a detail-oriented Administrative Assistant to join our law firm with a minimum of 2 years prior law firm experience in an admin assistant or clerical position. In this role, your responsibilities will include answering phone calls, client filing ( paper filing and electronic), monthly vendor bill paying, preparing monthly client billings, photocopying, document scanning, scheduling appointments, and all of the other normal responsibilities of a clerical / admin assitant in a small law firm setting. The ideal candidate is capable of multitasking, is highly organized with excellent verbal communication skills and a friendly demeanor. Knowledge of Filevine file management software a plus.
Responsibilities
Answer incoming phone calls and route them to the appropriate person
Schedule appointments
File client materials daily ( paper filing and electronic )
Photocopying and scanning client documents
greeting consultations and clients
Preparing monthly client billing statements
Paying monthly vendor bills
Qualifications
2 years of law firm experience as an Administrative Assistant or in a similar position
Familiarity with standard office equipment such as printers, copiers, and coffee makers
Computer skills and knowledge of Microsoft Word, Outlook, Excel, and client billing programs
Highly organized with excellent time management skills and the ability to prioritize projects
