Job Description

We are seeking a professional and empathetic Concierge & Executive Patient Service Coordinator to join our healthcare organization in Detroit, United States. In this role, you will serve as the primary point of contact for our patients and executives, delivering exceptional service while managing complex administrative responsibilities. You will combine organizational excellence with genuine care to ensure every patient interaction reflects our commitment to outstanding healthcare service.

• Greet patients and visitors with professionalism and warmth, providing directions and assistance throughout the facility
• Coordinate and manage patient appointments, scheduling, and calendar management for executive staff and physicians
• Answer and route incoming calls and emails with efficiency and courtesy, prioritizing urgent matters appropriately
• Maintain detailed patient records and documentation while ensuring strict adherence to HIPAA regulations and confidentiality standards
• Assist patients with check-in procedures, insurance verification, and administrative paperwork
• Resolve patient concerns and complaints promptly, escalating complex issues to appropriate management when necessary
• Manage multiple tasks simultaneously while maintaining attention to detail and organizational accuracy
• Communicate effectively with clinical and administrative staff to coordinate patient care and scheduling needs
• Maintain a clean, welcoming, and organized reception and concierge area
• Provide personalized support to executive staff, including travel arrangements, meeting coordination, and special requests
• Utilize electronic health records (EHR) systems and medical office software to document interactions and manage information
• Anticipate patient and staff needs, proactively offering assistance and solutions

Qualifications

• Proven customer service experience in a healthcare or professional services environment
• Excellent verbal and written communication skills with the ability to interact professionally with diverse populations
• Strong organizational and time management abilities with demonstrated capacity to prioritize multiple responsibilities
• Proficiency with electronic health records (EHR) systems and medical office software
• Knowledge of HIPAA regulations and commitment to maintaining patient confidentiality
• Ability to remain calm and professional in high-pressure situations
• Strong interpersonal skills with genuine empathy and patience
• Attention to detail and accuracy in documentation and record-keeping
• Proficiency with Microsoft Office Suite and standard office equipment
• Ability to work collaboratively with clinical and administrative teams
• Professional demeanor and appearance
• Preferred: Bilingual capabilities (English and Spanish)
• Preferred: Previous experience in a concierge or executive support role
• Preferred: Familiarity with medical terminology and healthcare operations
