ReceptionistThe Receptionist is responsible for front desk operations, which include welcoming and helping guests, clients, vendors and employees in person and by phone. As the first point of contact and the last resort point of contact, the Receptionist must maintain an approachable and courteous demeanor and ensure issues and questions are directed to the person who will resolve them.ResponsibilitiesWork with other receptionist to cover breaks and lunchesAnswer and screen calls and direct them to the appropriate person or teamMonitor office supply levels and place bi-weekly orderMaintain facilities-related documents on TylerShare such as floor plansPrepare letters and contracts for the Support DepartmentProvide administrative support on special projects as requiredOversee lobby and building decorations for the holidaysWork with the facilities team to ensure day-to-day operations of reception, and general office are covered even during an absenceBalance answering several phone lines with visitors to the front desk; direct requests to the appropriate resource even when there are multiple, concurrent requestsMaintain knowledge of employee whereabouts, moves and contact information so that clients calling in can be quickly connected to the correct resourceWork as part of a team to ensure daily facilities functions are accomplishedWork well with clients, visitors and employees at all levels of the organizationQualifications2 years' experience in an office environmentExperience using multi-line phone in a high call volume environment strongly desiredStrong ability to multitaskExcellent communication and customer service skillsExperience with Microsoft Office products, particularly Outlook, Word, Excel, and Teams.
