Event Manager Full Time Sales & Marketing Innisbrook Resort, Palm Harbor, FL, US POSITION OBJECTIVE The Event Manager is responsible for the successful planning, coordination, and execution of assigned social, corporate, golf, and resort events following turnover from the catering sales, and sales team. This position serves as the primary liaison between clients and resort departments throughout the planning and event execution process, ensuring exceptional service, operational excellence, and memorable guest experiences. The Event Manager will oversee event details from turnover through post-event follow-up while supporting revenue growth, client satisfaction, and departmental goals. ESSENTIAL JOB FUNCTIONS Serve as the primary point of contact for assigned clients following turnover from the Catering Sales and Sales Team through event completion and post-event follow-up. Coordinate all event logistics and communicate event requirements to operational departments to ensure seamless execution. Prepare, revise, and distribute Banquet Event Orders (BEOs), catering resumes, rooming lists, and other event documentation according to the Resorts distribution schedule. Lead BEO meetings, pre-conference meetings, and operational planning discussions to ensure alignment across departments. Conduct event planning calls, site visits, and on-site meetings with clients as necessary. Maintain strong client relationships and proactively address concerns, special requests, and operational challenges. Manage room blocks, meeting space inventory, concessions, billing arrangements, and event deadlines in accordance with contractual agreements. Review and verify event billing, deposits, and invoicing for assigned groups. Monitor and forecast guest room, catering, and event revenue for assigned business segments. Identify opportunities to enhance the guest experience and maximize revenue through upselling resort amenities, food and beverage offerings, golf experiences, spa services, and guest accommodations. Oversee on-site event execution and serve as the client contact during events, ensuring all details are delivered as contracted and expected. Partner with Banquets, Culinary, Golf, Front Office, Housekeeping, Recreation, and other resort departments to ensure successful event execution. Assist in servicing golf tournaments, banquet events, and resort-wide special events as business demands require. Monitor client deadlines, room block pickup, rooming lists, menu selections, and other program requirements to maximize operational efficiency and revenue opportunities. Maintain accurate records within Delphi, SMS, Passkey, and other required systems. Participate in department meetings, forecasting meetings, and operational reviews. Remain knowledgeable of industry trends, hospitality best practices, and event management innovations. Represent the resort professionally at industry functions, networking events, and community activities as assigned. Perform other duties as assigned. EDUCATION/EXPERIENCE High School Diploma or GED required. Bachelor's Degree in Hospitality Management, Business Administration, Event Management, or related field preferred. Minimum of 2-3 years of event management, conference services, catering, hotel operations, or related hospitality experience required. Resort or full-service hotel and Golf Resort experience preferred. REQUIREMENTS Exceptional organizational and project management skills. Strong verbal and written communication skills with the ability to communicate professionally with clients and colleagues. Proven ability to manage multiple events and priorities simultaneously while maintaining attention to detail. Knowledge of banquet operations, meeting space management, event logistics, and food and beverage service. Strong customer service and relationship-building skills. Ability to problem solve and make sound decisions in a fast-paced environment. Proficiency in Microsoft Office Suite. Experience with Delphi, Passkey, Springer-Miller Systems (SMS), or comparable hospitality software preferred. Ability to work flexible schedules, including evenings, weekends, and holidays as business needs require. PHYSICAL DEMANDS Most work tasks are performed indoors. Temperature is moderate and controlled by hotel environmental systems. Must be able to sit at a desk for up to 5 hours per day. Walking and standing are required the rest of the working day. This includes traveling to and from meetings. Length of time of these tasks may vary from day to day and task to task. Must be able to exert well‑paced ability to maneuver between functions occurring simultaneously. Must be able to exert well‑paced ability to reach other departments of the hotel on a timely basis. Must be able to lift up to 15 lbs. occasionally. Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity. Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other employees. Vision occurs continuously with the most common visual functions being those of near vision and depth perception. Must have finger dexterity to be able to operate office equipment such as computers, printers, multi‑line touch tone phone, FAX machines, photocopiers, and other office equipment as needed.
