This position is responsible for managing all aspects of conference services, including client relations, vendor coordination, budgeting, and on-site event management to deliver exceptional experiences. The manager will collaborate closely with internal teams and external partners to align event objectives with organizational goals, ensuring high standards of quality and customer satisfaction. By overseeing logistical details and troubleshooting issues proactively, the Conference Services Manager guarantees that each event runs smoothly from inception to completion. Minimum Qualifications: Bachelor’s degree in Hospitality Management, Event Planning, Business Administration, or a related field. At least 3 years of experience in conference or event management, preferably within a corporate or hospitality environment. Strong organizational and project management skills with the ability to manage multiple events simultaneously. Excellent communication and interpersonal skills to effectively liaise with clients, vendors, and team members. Proficiency in event management software and Microsoft Office Suite. Preferred Qualifications: Certified Meeting Professional (CMP) or equivalent industry certification. Experience managing large-scale conferences with 500+ attendees. Knowledge of audiovisual technology and event production. Familiarity with budgeting software and financial reporting tools. Ability to work flexible hours, including evenings and weekends, as event schedules require. Responsibilities: Plan, organize, and execute conferences, meetings, and special events from initial concept through completion. Serve as the primary point of contact for clients, understanding their needs and ensuring their expectations are met or exceeded. Coordinate with vendors, venues, and internal departments to secure necessary resources and services. Develop and manage event budgets, monitor expenses, and ensure cost-effective solutions without compromising quality. Oversee on-site event operations, including setup, registration, technical support, and troubleshooting. Maintain detailed documentation and post-event reports to evaluate success and identify areas for improvement. Implement and enforce compliance with organizational policies, safety regulations, and industry best practices. Train and supervise conference services staff and temporary event personnel as needed.
