POSITION OVERVIEW

BMS Federal is seeking a highly organized and proactive Project Coordinator to support day-to-day multi-facility maintenance operations at a government site. This position requires an active Secret Clearance. The ideal candidate will be responsible for dispatching service technicians, managing work orders, ordering parts, and tracking contract milestones to ensure the continuous, compliant operation of government facility mechanical systems. This role is critical to ensuring smooth, timely service delivery and customer satisfaction in a federal contracting environment. The ideal candidate has extensive experience with Microsoft Excel, Google Sheets, and the Microsoft Office Suite; familiarity with SAP systems is a plus. A background in HVAC/mechanical services or construction is strongly preferred.

KEY RESPONSIBILITIES

Dispatch, Scheduling & Customer Service

• Coordinate and dispatch service technicians to open work orders across government facility sites.

• Track job progress and ensure timely completion in accordance with contract requirements.

• Manage and maintain project documentation, including Statements of Work (SOWs), inspection reports, deficiency reports, work authorizations, and maintenance records.

• Monitor contractor performance to ensure contractual, safety, and quality requirements are met.

• Serve as the primary point of contact for customers, contractors, and facility personnel regarding service updates, project schedules, and resolution of operational issues.

• Handle customer concerns with professionalism and escalate issues when necessary.

• Support federal, state, and commercial project administration, ensuring compliance with applicable government contracting requirements.

Parts & Procurement

• Order parts and materials needed for service jobs at government facilities.

• Maintain adequate inventory levels and follow up with suppliers on delivery timelines.

• Track and receive shipments to ensure accuracy and accountability.

REQUIRED SKILLS & COMPETENCIES

• Associate's degree or equivalent experience; additional business/financial training a plus.

• Strong knowledge of Microsoft Office Suite and Google Sheets.

• Excellent administrative, organizational, and multitasking abilities.

• Effective verbal and written communication skills at the C-Suite level.

• Ability to work independently and manage multiple priorities and variations in work pace.

• Ability to handle confidential and sensitive information with discretion, consistent with federal facility security requirements.

• Familiarity with construction/mechanical service industries preferred.

• Must be able to obtain and maintain an active Secret Clearance.

• Work Location: On-site, Lorton, VA area — remote work is not available
