Document Management Specialist

Job Posting
Sort, label, and file physical documents in an orderly and accessible manner.
Maintain filing systems and ensure documents are stored in the correct locations.
Scan physical documents using high-speed scanners and ensure image quality.
Index and categorize digital files for easy retrieval.
Use document management software to upload and manage digital records.
Maintain accurate records of stored documents, both physical and digital.
Retrieve documents upon request and track document movement.
Ensure secure and climate-appropriate storage conditions for physical files.
Identify documents eligible for destruction based on retention schedules.
Shred or dispose of documents securely and in compliance with data protection policies.
Maintain logs of destroyed documents for audit purposes.
Follow company policies and legal requirements for document handling and retention.
Conduct periodic audits to ensure accuracy and completeness of records.
Report discrepancies or issues to the appropriate personnel.
High school diploma or equivalent; associate degree preferred.
Proven experience in document management, records keeping, or administrative support.
Familiarity with scanning equipment and document management systems.
Strong attention to detail and organizational skills.
Ability to handle confidential information with discretion.
Basic computer skills, including Microsoft Office and file management.
Ability to lift boxes or files up to 25 lbs.
Willingness to work in office, storage, or archive environments.
