Are you detail-oriented, organized, and energized by a fast-paced environment? The Los Angeles County Sanitation Districts protects public health and the environment through innovative wastewater and solid waste management and the Revenue Collection group plays a critical role in sustaining that mission by ensuring the Districts' revenue programs run smoothly and accurately. As a Secretary in this group, you'll serve as central point for the team logging and routing payments across multiple revenue programs, managing correspondence and document systems, coordinating supply orders, supporting timekeeping, and providing direct administrative support to the Revenue Collection Supervisor. You'll work with a variety of administrative and operational systems while gaining in-depth exposure to the Districts' surcharge and service charge operations, building knowledge that opens the door to advancement into senior administrative and specialized revenue roles. This is a position where your ability to stay organized, communicate clearly, and learn quickly will have a direct impact on a hardworking team that keeps the financial engine of the Districts running.
Essential functions include performing secretarial and administrative support work to ensure the efficient operation of the Revenue Collection group by coordinating office procedures, following up on action items, and maintaining systems and records in accordance with supervisory direction. Compose, type, and finalize correspondence and documents to communicate information and document Revenue Collection activities using business software applications. Compile, organize, and prepare information for written communications and meeting materials to support accurate documentation and facilitate meeting preparation. Perform all timekeeping and coordinate administrative transactions to ensure accurate recordkeeping and maintain adequate resources using the Districts' Enterprise Resource Planning software. Create, maintain, route, and log office files, records, and correspondence to ensure organized, retrievable documentation and timely delivery of communications using the Districts' Document Management System. Receive and respond to incoming communications and visitors to connect the public and internal staff with section services and information. Manage scheduling and travel coordination for Revenue Collection staff to ensure smooth planning and execution of work-related activities. Assign and oversee work for subordinate clerical staff and provide software guidance and instruction to section staff to ensure accurate task completion and proficient use of applicable office management systems.
Minimum Qualifications
Applicants must possess all of the following: For SECRETARY I, one (1) year of experience with the County Sanitation Districts of Los Angeles County performing duties at or above the level of a Office Assistant I - OR - Two (2) years of clerical experience. For SECRETARY II, one (1) year of experience with the County Sanitation Districts of Los Angeles County performing secretarial and clerical duties at the level of Secretary I or Senior Office Assistant. For BOTH CLASSES, satisfactory completion of college level business, secretarial or clerical coursework may be substituted on a year-for-year basis for up to one (1) year of the required experience.
Examples of Assessment Criteria
Knowledge of office administration methods, procedures and systems; English grammar, spelling, proofreading, vocabulary, arithmetic, letter writing, telephone etiquette; business letter and report composition and editing; record control principles and filing systems. Ability to type 50 words per minute with a maximum 10% error rate; interpret and apply administrative rules, procedures and policies; perform word processing operations with full proficiency utilizing a desktop computer; prioritize and coordinate office procedures; keep records; independently compose and prepare correspondence; edit and correct written materials; maintain departmental files and records.
Additional Information
The selection process will consist of a written test weighted at 30%, and an interview weighted at 70%. Candidates must receive a qualifying score on each selection component to move forward in the selection process. The written exam is tentatively scheduled for Friday, June 12, 2026. The interviews are tentatively scheduled for the week of June 15, 2026. Candidates will be notified of their results in the selection process by Human Resources via Neogov.
