Programs Coordinator

South Puget Sound Habitat

South Puget Sound Habitat for Humanity is an affiliate of Habitat for Humanity International focused on providing affordable housing solutions in Thurston and Lewis counties. We believe that every person, no matter who they are, deserves a decent place to live. Our work includes building new, energy-efficient homes, preparing households for homeownership, guaranteeing affordable mortgages to homebuyers, performing critical housing repairs, and running two successful resale stores. It is an exciting time at South Puget Sound Habitat as our immediate goals for the future include three new developments and hundreds of repair projects, drastically outpacing our past production-and we are working to scale our operations to meet these goals.


POSITION SUMMARY

The newly created programs coordinator role supports the delivery of South Puget Sound Habitat for Humanity's construction, homeownership, home repair, education and outreach, advising, and volunteer programs. The coordinator will establish, maintain, and improve services and processes to best meet the growing demand for our programs. Through efficiency, creativity, and innovation, this role will directly enhance the customer experience so that we can serve even more community members going forward.

RESPONSIBILITIES

Key Responsibility: Programs Coordination, Scheduling, and Delivery (55%)

The coordinator will work closely with the senior director of programs and programs staff to efficiently and effectively deliver quality programs to our community. Responsibilities generally include:

  • Compile and verify application materials for homeownership and home repair programs to ensure completeness and preliminary eligibility.
  • Communicate with community members in person, by email, or over the phone to connect them with our various programs.
  • Support education programming, outreach activities, and other programmatic initiatives, including technology needs, room set-up, and materials preparation.
  • Manage program staff calendars, meetings, appointments with clients, and travel time.
  • Coordinate the development of meeting agendas and capture minutes and action items.
Key Responsibility: Processes, Projects, and Metrics (40%)

By being a self-starter who is organized, proactive, and innovative, the coordinator builds systems and tracks results that remove barriers for programs staff and program participants. This work will directly correlate to our ability to serve more people in our community. Responsibilities generally include:
  • Track program registration, participation, and other metrics for grant reporting requirements and to monitor trends and efficacy of delivery.
  • Assist in completing projects through research, reports, feedback gathering, proofreading, etc.
  • Oversee data integrity and program participant confidentiality for digital and paper records.
  • Identify opportunities for process improvement opportunities, technology solutions, and the removal of redundancies across programs.
  • Research and understand the network of community services to maintain and expand an accurate database of community referral services.

REQUIREMENTS

Education and Experience
  • Associates degree or higher desired
  • Three years of increasingly responsible administrative or programs support experience with college degree or five years of experience without.
  • Nonprofit and/or executive support experience preferred.
Required Knowledge, Skills, and Abilities
  • Exceptionally organized with the ability to manage multiple projects, a demanding workload, and day-to-day tasks to maintain participant satisfaction.
  • Ability to prioritize and reprioritize for scheduled and unexpected deadlines.
  • Excellent written and verbal communication skills.
  • Strong relationship building skills with an ability work constructively with a variety of people.
  • Tech-savvy generally, with a strong understanding of common email/calendar applications and an ability to adopt and optimize new technologies.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Ability to pass a background and reference check.
  • Commitment to the South Puget Sound Habitat mission and core values.
Preferred Knowledge, Skills, Abilities
  • Understanding and abilities in basic project management practices.
  • Proficiency in CRM platforms and developing standards.
  • Understanding of the considerations of, and ability to work with, asset-limited individuals.

DETAILS
  • Reports to: Senior Director of Programs
  • Supervises: None
  • Hours: 40 hours per week. Typical business hours with flexibility for evening or weekend classes, outreach activities, or events.
  • Compensation: Non-exempt, hourly position. Position range: $22.07-$30.78 per hour (equivalent of $45,906-$64,022 annually); expected hire range: $22.07-$24.24 per hour (equivalent of $45,906-$50,419 annually).
  • FLSA Status: This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA); it earns overtime for additional time worked.
  • Benefits: 26 vacation/sick/personal days initially, increasing over time; 13 holidays; 85% employer-paid health, 50% employer-paid dental, 100% employer-paid vision; Simple IRA with 3% match.
  • Environment: This position will be based in our office located at 910 5th Ave SE in Olympia. It can be reached by car or public transit. The building is accessible. This position will have a desk, computer, and phone line in a designated workspace. . Frequent off-site, local travel is required. Limited regular remote work is acceptable.
  • Conditions: This position will be regularly required to use a computer keyboard and screen, communicate with others, reach with arms and hands to file and use a phone, and sit for extended periods.
  • Training: This successful candidate will be onboarded and initially trained through a combination of in-person, online, and written trainings; they are expected to take the initiative to review materials as needed and seek understanding of new developments in order to perform their responsibilities. Additionally, at the organization's expense, the successful candidate will be required to earn and maintain HUD certified housing counselor and qualified loan originator certifications within the first three months of hire. Additional trainings or certifications may also be identified in the future.
