DESCRIPTION: The onsite Sales Coordinator supports the efficiency and success of the sales organization by managing administrative responsibilities, maintaining accurate data within the company’s operating system, and ensuring seamless communication between customers, vendors, and internal departments. This role requires a highly organized professional capable of managing complex procurement contracts, technical equipment documentation, and formal bid submissions. RESPONSIBILITIES: Data & System Management: Maintain expert-level knowledge of the operating system to manage sales opportunities, funnel updates, inventory, and record maintenance. Quote & Order Processing: Generate accurate quotes for AV components, secure freight costs, and process purchase orders and credit card transactions. Vendor Relations: Interface with manufacturers to secure project-specific pricing, maximize margins on Bills of Materials (BOMs), and register project deals. Compliance & Bids: Ensure all quotes comply with state procurement contracts and organize documentation for technical and administrative bid submissions. Logistics Support: Provide timely follow-ups on order status, shipping schedules, back orders, and equipment repairs. POSITION REQUIREMENTS: Strong experience with CRM tools (Salesforce/HubSpot) and ERP/Order Entry software (SAP/Oracle/NetSuite) Skilled in Microsoft Office (Excel, Word, Outlook) and previous data entry experience Multi-tasker with the ability to meet tight deadlines with minimal supervision Exceptional written and verbal communication skills for interfacing with employees, vendors, and clients Previous experience in the AV industry is preferred Ability to handle sensitive and confidential pricing and customer data LOCATION: Visual Sound - Broomall EOE STATEMENT: We are an equal employment opportunity employer.
