Role Summary We are seeking a highly organized, detail-oriented, and customer-focused Scheduling Specialist to join a dedicated healthcareteam in Stockton, CA! In this important role, you will help ensure that patients receive timely care by coordinating appointments and maintaining accurate team member availability. Your responsibilities will include managing scheduling requests, cancellations, rescheduling, incoming calls, in-personscheduling needs, appointment reminders, and administrative tasks as directed. You will provide excellent customer service to patients, families, partners, and team members while maintaining accurate appointment records and documentation. Duties & Responsibilities Appointment Scheduling & Coordination

• Coordinate patient appointments, troubleshoot scheduling conflicts and urgent needs, communicate with staff, families, providers, and other stakeholders, and meet appointment turnaround times according to established scheduling protocols.
• Address appointment cancellation and rescheduling requests from staff and patients, ensuring changes are appropriately managed and promptly communicated to relevant parties.
• Maintain and update team member scheduling availability in designated systems, ensuring accurate information for all available appointment time slots.
• Document all scheduling updates and communications accurately and promptly in designated systems according to department protocols.
• Conduct appointment confirmations and reminders according to department protocols, updating appointments as appropriate.

Customer Service & Communication

• Respond to incoming phone calls, emails, contacts, and requests received at the healthcare center as needed.
• Screen, transfer, resolve, and appropriately process calls promptly while following established processes and documentation standards.
• Provide outstanding customer service and promote organizational values.
• Troubleshoot and resolve basic issues, escalating concerns to management when appropriate.
• Communicate regularly with supervisors and team members regarding workload and priorities.

Scheduling Operations & Team Support

• Continuously review and improve scheduling processes to enhance efficiency and streamline operations, recommending process improvements as needed.
• Provide guidance and support to staff members regarding scheduling processes and procedures, ensuring they are informed and prepared to handle scheduling-related tasks.
• Collaborate effectively with colleagues and stakeholders to support organizational values, team culture, and mission.

Administrative & Compliance Responsibilities

• Be willing and able to work a varied schedule that may include evenings, nights, and weekends.
• Complete all required documentation accurately and within established timelines.
• Protect privacy and maintain confidentiality of organizational procedures and information regarding team members, patients, and families.
• Follow organizational policies and procedures and participate in required quality improvement activities, staff training, and meetings.
• Complete all mandated training and education within required timelines.
• Complete mandated occupational health screenings as needed.
• Demonstrate flexibility in performing assignments as organizational needs evolve.
• Perform other duties as assigned.

Required Qualifications

• Excellent and accurate data entry skills and experience using multiple software platforms, including at least 1 year of experience working with an Electronic Medical Record (EMR) system.
• Minimum of 1 year of experience working in healthcare.
• Outstanding customer service orientation, particularly in telephone and written communications.
• Strong problem-solving skills and persistence when facing challenges.
• Excellent organizational and communication skills.
• Ability to work independently with minimal supervision.
• Demonstrated ability to prioritize responsibilities in a fast-paced environment.
• Experience and competency working with individuals from diverse backgrounds and cultures.
• Commitment to helping vulnerable seniors reach their full potential.
• Ability to read, write, and speak English.
• Must be able to speak Spanish.
• Reliable transportation required.
