Job Overview At Plastic Surgery Northwest (PSNW), our med-spa blends state-of-the-art clinical care with the soothing, restorative experience of a luxury spa. We're committed to helping every guest look and feel their best—and that journey starts at the front desk. As our Spa Front Desk Coordinator, you'll be the first impression and organizational hub of the spa. You'll greet guests warmly, manage appointments, provide detailed information on treatments (including manual lymphatic drainage), handle administrative and financial transactions, and partner with therapists, providers, and marketing to elevate the guest experience.

Duties

• Greet and welcome clients in a friendly, professional manner.
• Answer phone calls, manage the appointment calendar, and promptly follow up on inquiries.
• Provide clear, accurate information on spa services, packages, promotions, products, and specialized treatments.
• Address client questions or concerns to ensure complete satisfaction.
• Maintain a clean, organized lobby and front-desk area.
• Handle cash and card transactions, process payments, and maintain accurate financial and client records.
• Update and manage client profiles in the spa management system.
• Assist clients in selecting appropriate services and products based on their needs.
• Actively promote spa services, membership programs, and retail products.
• Collaborate on sales strategies with the spa management and marketing teams.
• Identify clients who may benefit from PSNW's clinical services and coordinate referrals with the medical team.
• Coordinate schedules and services with therapists, aestheticians, and employed physicians.
• Monitor inventory levels for spa supplies and assist with restocking.
• Support marketing initiatives, including content creation, social media promotions, and video projects.
• Adhere to company policies, HIPAA regulations, and confidentiality standards.
• Participate in team meetings and training to foster a positive, collaborative culture.

Qualifications

• High school diploma or equivalent required.
• Prior front-desk or customer service experience, ideally in a spa, hospitality, or healthcare setting.
• Outstanding verbal and written communication skills.
• Strong organizational, multitasking, and time-management abilities.
• Familiarity with med-spa management software is a plus.
• Professional appearance and demeanor.
• Comfortable handling cash and maintaining accurate records.
• Ability to work effectively with diverse teams—PSNW staff, providers, and leadership alike.
