Patient Coordinator

Commonwealth Dentistry

Patient Coordinator

You are the first voice patients hear and the last face they see. We are looking for a Patient Coordinator who shows up, stays positive under pressure, and takes ownership of a full schedule. You will help patients understand their benefits and costs, feel confident moving forward with care, and leave with their next visit booked.

Greet patients warmly, and manage check-in and check-out accurately and efficiently

Answer phones promptly and turn new patient calls into scheduled appointments

Build and protect the schedule: fill openings and cancellations, work recall and unscheduled treatment lists

Confirm upcoming appointments by phone and text to reduce no-shows

Make sure every patient leaves with their next appointment scheduled

Verify insurance eligibility and benefits before appointments, and explain coverage in plain language

Present treatment plans and discuss fees, insurance estimates, and payment or financing options, helping patients say yes to the care they need

Collect copays and balances at the time of service, and post payments accurately

Keep patient records, forms, and account notes complete and accurate

Coordinate with the clinical team so handoffs are smooth and nothing falls through the cracks

Protect patient privacy and follow HIPAA requirements

Reliability. Regular, predictable, on-time attendance for your full scheduled shift is an essential function of this job. The front desk cannot open without you.

Presence. This is an in-person role. You are engaged, attentive to the patient in front of you, and smiling with a great warm tone.

A good attitude. You stay calm, friendly, and professional with a ringing phone, a full lobby, and an upset patient all at once.

Team first. You jump in without being asked, communicate openly, and help the whole office succeed.

Comfort with money conversations. You can talk about cost and ask for payment clearly and confidently, without pressure and without avoiding it.

Ownership of the schedule. You treat an open slot or a patient leaving without an appointment as a problem to solve.

Attention to detail. Insurance, payments, and patient information are right the first time.

Professional presentation. As the face of the practice, you maintain a high standard for personal hygiene, grooming, and professional dress every shift.

At least 1 to 2+ years of dental front office experience

Experience verifying dental insurance and explaining benefits to patients

Experience presenting treatment plans and collecting patient payments

Experience scheduling and confirming appointments and managing a provider schedule

Working knowledge of dental terminology and procedure codes

Experience with Denticon practice management software is a plus

Strong phone, computer, and typing skills

[Bilingual English/Spanish is a plus]

The following are essential to this role and must be met with or without reasonable accommodation:

Sit or stand at a front desk workstation for extended periods

Use a computer, keyboard, and multi-line phone throughout the shift

Speak and hear clearly to communicate with patients in person and by phone

See clearly at close range to read screens, forms, and insurance documents

Move between the front desk, lobby, and operatories throughout the day

Lift and carry office supplies up to [15] pounds

Maintain professional appearance and personal hygiene standards appropriate for close patient contact, including avoiding strong odors and fragrances

Short video interview you complete on your own time, then an in-office interview [and working interview]

We contact prior employers for references, including questions about attendance, dependability, and teamwork. Please be ready to provide at least two supervisor references.

Offers are contingent on satisfactory reference and background checks

New team members complete a 90-day introductory period
