Front Desk Receptionist/Administrative Assistant

Your Opportunity As our Seattle Front Desk Administrative Assistant, you will take on a vital supporting role as the first impression and representation of our company! The ideal candidate will demonstrate excellence in internal and external client service and provide timely, accurate, and professional administrative support in keeping with Stantec’s high standards. This is an in‑office role at our Seattle office, with defined hours of 8:00 am – 5:00 pm Tuesday through Thursday (approximately 24 hours per week). Your Key Responsibilities Ensure organization and cleanliness of the lobby, kitchen/cafe, conference rooms and storage areas. Ensure workspaces throughout the office are cleaned and ready for new hires or visitors. Refer and direct calls, emails and visitors as required. Schedule, track, and assign meetings and conference rooms for our busy client‑facing office. Maintain inventory of office and kitchen supplies. Manage incoming and outgoing mail and deliveries. Assist with coordination of lunch and learn seminars with industry vendors. Assist in travel arrangements and expense reporting for staff, when directed. Lead planning and logistics for internal and external staff/office events. Support OSEC (Office Safety Environment Coordinator) to ensure the safety of staff and support office safety initiatives as needed. Provide administrative support to office staff as needed. Handle special projects in support of firm objectives as requested. Capabilities and Credentials Ability to multi‑task and communicate well; highly organized, detail‑oriented, resourceful, and dependable. Proficiency with MS Office Suite, including Teams, Outlook, Word, Excel and SharePoint. Positive, can‑do attitude and service‑oriented mindset. Comfortable learning and using new technology. Maintain a professional, polished appearance and demeanor. Can work both collaboratively and independently. Education and Experience High school diploma required. Minimum of one year experience in a professional office environment. Certification, associate degree, or currently working toward a degree from technical school or college in a related field, or an equivalent combination of education and experience preferred. Typical office environment: working with computers and remaining sedentary for long periods of time. Pay Range Locations in WA, DC & Various CA, MA, VA Areas – $47,400.00 – $64,100.00 annually. Pay ranges are provided for positions in locations where required. The final agreed compensation is based on individual education, qualifications, experience, and work location. Certain roles are bonus eligible. Actual compensation for part‑time roles will be pro‑rated based on the agreed number of working hours per week. In addition, employees will be eligible to accrue vacation between 10 and 20 days per year and eligible for paid sick leave (and if more generous, in accordance with state and local law). Temporary/casual employees have access to 401(k) plans, employee stock purchase program, and paid leave, in accordance with state and local law. Schedule Part time. Defined hours: 8:00 am – 5:00 pm, Tuesday through Thursday.
