ProjectCoordinator ReportsTo:FacilitiesOperationManager SalaryType/Rate:Hourly/$28-$34 PositionSummary TheProjectCoordinatorprovidescriticaloperationalsupporttothefacilitiesdivision,includingCommercialMaintenance,TenantImprovements,SpecialProjects,andCompliance.ThispositionservesastheprimaryoperatorofPreventativeMaintenance(PM)schedulingandtrackingwithinBuildOpsandactsasacentralpointofcommunicationamongProjectManagers,technicians,subcontractors,vendors,andclients. EssentialDutiesandResponsibilities SupportingProjectManagersthroughdailyprojectoperations. Assistinginthesetup,scheduling,andtrackingofPreventativeMaintenance(PM)agreementsinBuildOps. CoordinatingPMservicecalendars,technicianassignments,andvendorparticipation. CommunicatingupcomingPMservicestoclientsandmanagingaccessrequirements. Dispatchingtechniciansformaintenance,PM,andprojectwork. Maintainingsubcontractor,vendor,andclientrelationships. OrganizingdataandinputforBuildOpsscheduling,jobsetup,andinternalprojectmanagementtasks. Collectingservicereports,PMchecklists,andcompliancedocumentation. Supportingprocurementactivitiesincludingpricingrequests,purchaseorders,anddeliverycoordination. Receivingcallsandemailsforservicerequests,jobupdates,andschedulingneeds. Supportinginspectioncoordinationandcompliance-drivenvisits. Trackingoutstandingdeficiencies,correctiveactions,andfollow-uprepairs. DocumentControl:Operations Preparation,organization,andmaintenanceofPMagreements,scopes,servicerecords,andcompliancelogs. EnsuringPMchecklists,assetlogs,andservicereportsarecompleted,uploaded,andarchivedproperly. MaintainingaccuratedigitalprojectandPMfolderswithininternalsystems. Organizingandloggingallprojectcommunications,updates,andfielddocumentation. Collectingandtrackingjob-specificdocumentationforcomplianceandqualityassurance. Assistingwithdataentry,scheduleprinting,anddistributionofoperationaldocuments. OrganizingandlabelingPMrecords,as-builts,fieldfiles,andofficefilesforarchiving. RequiredSkillset Strongstrategicthinkingandproblem-solvingskills. Abilitytoanticipateneedsandidentifynextstepsinprojectoperations. Excellentfacilitation,communication,andcoordinationskills. Exceptionalorganizationalabilitywithstrongattentiontodetail. Abilitytomanagemultipletaskswithexcellentfollow-up. Understandingorwillingnesstolearnconstruction,maintenance,andprojectworkflows. Qualifications Abilitytoworkindependentlyandaspartofateam. WorkingknowledgeofMicrosoftOfficeprogramsincludingOutlook,Word,Excel,andProjects. AbilitytoworkwithAdobePDFsanddigitaldocumentationtools. Strongwrittenandverbalcommunicationskills. Excellentlistening,comprehension,andinterpersonalskills. Highlyorganizedwithstrongprioritizationabilities. Mustbeproactive,reliable,punctual,andprofessional. FluentinEnglish. Reliablepersonaltransportationandadrivingrecordthatmeetscompanyandinsurancestandards. PhysicalRequirements&WorkingConditions Abilitytoliftandcarryatleast25pounds. Abilitytoworkinallweatherconditionsandconstructionenvironments. Traveltojobsitesandclientlocationsasrequired.
