Position Overview
The AP/VA Coordinator plays a dual‑function role supporting Accounts Payable operations and Veterans Affairs (VA) student services . This position is ideal for a detail‑oriented, organized, and coachable professional who enjoys administrative work, working with systems, and interacting directly with students.
No prior AP or VA experience is required—we’re looking for someone bright, reliable, and eager to learn.
Key Responsibilities
Accounts Payable (AP)
- Process approximately 200 invoices per week , all electronically
- Upload and manage invoices within the ESM system
- Match invoices to purchase orders and verify proper coding
- Assist with weekly check runs
- Process mostly ACH payments with occasional checks
- Coordinate with internal stakeholders to determine weekly payment priorities (“What can we pay this week?”)
- Over time, develop awareness of upcoming large bills , cash needs, and overall cash flow
- Provide insights or suggestions related to payment timing and cash impact as experience grows
Veterans Affairs (VA) Coordination
- Support students who are veterans or family members of veterans in accessing tuition and education benefits
- Monthly certification of enrolled students as required by the VA
- Serve as a student‑facing resource , answering questions and guiding students through the VA benefits process
- Clearly communicate what benefits students are entitled to and how they apply
- Ensure accurate billing in alignment with VA requirements
- Maintain a calm, professional, and empathetic approach when working with students
Required Skills & Qualities
- No prior Accounts Payable or VA experience required. Big plus if you do!
- Strong administrative and organizational skills
- Bright, coachable , and eager to learn
- Excellent attention to detail
- Strong written and verbal communication skills
- Comfortable in a student‑facing role
- Able to manage routine tasks while handling sensitive or time‑sensitive information
- Reliable and able to work onsite 3 days per week
