We are seeking an experienced Healthcare Practice Administrator to oversee the day-to-day business and operational functions of a growing physician practice in El Paso, TX.
This is a senior-level position for an experienced healthcare administrator who understands that successfully running a medical practice involves much more than front-office operations. The Practice Administrator will work closely with the physician to oversee the business as a whole, including personnel, human resources, billing, financial administration, payroll, vendor and payment management, marketing, office operations, and process improvement.
The ideal candidate has experience managing a healthcare facility with multiple operational functions or departments and can independently identify problems, develop solutions, and help the physician make sound business decisions.
This position is also intended to support the continued growth and development of the practice. The right candidate will have a business-minded approach and the ability to help evaluate opportunities, improve operations, and build the infrastructure necessary for growth.
We are looking for a hands-on healthcare administrator who can take lead of the business side of the practice and serve as a trusted operational partner to the physician.
Responsibilities
Practice Operations
- Oversee the daily administrative and business operations of the medical practice.
- Ensure the practice operates efficiently across all departments and functions.
- Develop, implement, and maintain policies, procedures, and operational processes.
- Identify operational inefficiencies and develop solutions to improve workflow, productivity, and patient experience.
- Monitor the overall performance of the practice and provide the physician with regular updates and recommendations.
- Coordinate communication and workflow between clinical, administrative, billing, and support functions.
- Ensure appropriate staffing, scheduling, resources, and systems are in place to support the practice.
Human Resources & Personnel
- Oversee the employee lifecycle, including recruiting, onboarding, training, performance management, disciplinary matters, and separation.
- Manage employee relations and address personnel issues appropriately and professionally.
- Maintain employee records and ensure HR processes are handled accurately and consistently.
- Develop staffing plans and identify opportunities to improve employee performance and retention.
- Help establish a strong culture of accountability, professionalism, and patient service.
Financial & Administrative Management
- Oversee medical billing operations and accounts receivable to ensure the practice has appropriate visibility into outstanding balances and revenue.
- Monitor payments, expenses, invoices, payroll, and other financial and administrative functions.
- Work with billing personnel and outside vendors to identify and resolve issues affecting collections and cash flow.
- Review financial reports and operational data to identify trends, concerns, and opportunities.
- Assist with budgeting, forecasting, expense management, and financial planning.
- Monitor vendor relationships, contracts, and business expenses.
- Ensure administrative and financial processes are organized, accurate, and properly documented.
Business Development & Growth
- Work directly with the physician to identify and evaluate opportunities for practice growth.
- Develop and implement strategies to improve patient volume, operational efficiency, and overall practice performance.
- Assist with planning and development of new services, programs, and potential future facilities.
- Participate in strategic planning for potential expansion into areas such as an ambulatory surgical center, rehabilitation services, or additional healthcare operations.
- Research market opportunities and help evaluate the financial and operational feasibility of new initiatives.
- Develop relationships with vendors, healthcare partners, consultants, and other outside resources as needed.
- Help the physician translate growth ideas into practical business plans and operational processes.
- Monitor the results of growth initiatives and recommend adjustments when necessary.
Marketing & Patient Experience
- Oversee or coordinate the practice's marketing efforts and external business presence.
- Work with internal and external marketing resources to develop strategies that support practice growth.
- Identify opportunities to improve patient acquisition, retention, satisfaction, and overall experience.
- Ensure the practice's patient-facing processes reflect a professional and consistent standard.
- Monitor patient feedback and identify opportunities for improvement.
Leadership & Strategic Support
- Serve as a trusted operational partner and resource to the physician.
- Take ownership of issues and work toward solutions rather than simply identifying problems.
- Manage multiple areas of the business simultaneously while maintaining accountability for results.
- Provide leadership across administrative and support functions.
- Develop systems that allow the practice to operate effectively as it grows.
- Anticipate operational needs and bring recommendations to the physician proactively.
- Maintain a high level of confidentiality and discretion when handling personnel, financial, patient, and business information.
Qualifications
- Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred.
- Significant experience managing the operations of a medical practice, healthcare facility, clinic, surgery center, rehabilitation facility, or other multi-department healthcare organization.
- Experience overseeing multiple functions such as operations, human resources, billing, finance, payroll, staffing, and marketing.
- Strong understanding of medical practice billing, accounts receivable, insurance processes, and healthcare financial operations.
- Experience managing payroll, payments, expenses, budgets, or financial reporting.
- Previous responsibility for hiring, employee management, HR processes, and personnel issues.
- Strong business and financial judgment with the ability to understand how operational decisions affect the financial performance of a practice.
- Experience working directly with physicians, clinical staff, and administrative teams.
- Strong leadership and organizational skills.
- Excellent written and verbal communication skills.
- Strong problem-solving and decision-making abilities.
- Ability to work independently and make sound decisions with minimal supervision.
- Strong computer skills and experience working with practice management systems, Microsoft Office, Excel, and other business software.
- Experience with healthcare expansion, new service development, or facility development is a strong plus.
- Experience in an ambulatory surgery center, rehabilitation center, hospital, multispecialty practice, or other complex healthcare environment is highly preferred.
Ideal Candidate
The ideal candidate is an experienced healthcare administrator who understands the business of running a medical practice and is comfortable wearing multiple hats.
You should be able to walk into the office, understand what is happening across the different departments, identify what needs attention, and take ownership of getting it resolved.
This person should be comfortable discussing staffing with the physician one minute, reviewing billing and financial information the next, addressing an employee issue, working with a marketing vendor, and then looking at how a new service or facility could be developed.
We are looking for someone who is not simply looking to maintain existing operations. The right candidate will bring a creative, business-minded approach and will actively look for ways to improve the practice, increase efficiency, and support long-term growth.
The physician is looking for a long-term operational partner who can take responsibility for the business side of the practice and help build the infrastructure for its next stage of growth.
