Events Specialist

Vaisala Industrial Measurements is looking for an experienced, highly motivated Events Specialist to execute tradeshows and sales events in North America. This hybrid role is based in Burlington, MA and requires occasional travel. Key Responsibilities Manage end‑to‑end event processes, including pre‑ and post‑event activities, vendor management, and procurement. Control event budgets: forecasting, accruals, deferrals, invoice processing, tracking, and expense reporting. Coordinate pre‑show tasks: Book booth space and rentals, arrange promotional items, printed materials, and other event services. Provide sales and speakers with staffing instructions, event preparations, lead capture procedures, registrations, and hotel reservations. Collaborate with marketing and sales to create booth assets that convey messaging for Vaisala Industrial Measurements solutions. Oversee production of booth assets (displays, banners, signage, etc.) with third‑party vendors. Prepare and ship event materials and instruments. Ideate event promotion to drive targeted traffic to the booth. Manage onsite activities: Handle booth setup, traffic building, lead acquisition, and speaking engagements. Oversee booth breakdown, return of rentals, and coordination of return shipments. Provide remote support when not onsite. Conduct post‑show activities: Facilitate post‑show meetings to gather feedback, report on KPIs and ROI, and communicate results to stakeholders. Provide insights on trade‑show observations, competitors, publications, and new trends. Document all relevant activities on the internal portal. Create and manage an event asset library and inventory storage. Research and evaluate new event opportunities and speaking engagements. Travel up to 20‑30% of the time annually. Qualifications Bachelor’s degree in Marketing, Communications, or a related field, or equivalent combination of education and experience. 1‑3 years of event‑management experience executing events. Proven ability to influence key stakeholders, manage vendor relationships, negotiate contracts, and adhere to budgets. Highly organized with strong attention to detail, time‑management skills, and ability to manage multiple tasks simultaneously. Strong work ethic, intellectual curiosity, and commitment to continuous improvement. Comfortable building relationships and working both independently and as part of a cross‑functional team. Excellent written and verbal communication skills. Familiarity with digital marketing tools and platforms such as Salesforce, Marketo, or similar, Adobe/Canva, and active use of social media; a plus. Capable of physically moving event assets up to approximately 30 lbs. Salary & Benefits Anticipated salary range: $80,000–$90,000 base salary with an annual performance bonus plan (on top of base compensation). The salary is determined by education, experience, knowledge, skills, and abilities of the applicant, internal equity, and market data.
