Leave of Absence Specialist I/II

Leave of Absence Specialist I Summary: The Leave of Absence (LOA) Specialist is responsible for day‑to‑day administration of all company leaves of absence, ensuring compliance with company policy and applicable laws. Primary Responsibilities: Serve as the first point of contact for supervisors and employees requesting or inquiring about a leave of absence; determine the type of leave and send the required documentation. Determine eligibility for FMLA, state‑specific leaves, and other company‑approved leaves of absence, and identify appropriate disability programs when applicable. Prepare, send, and track all LOA paperwork, ensuring deadlines and FMLA rules/requirements are met. Verify that all paperwork has required approvals, signatures and is entered for audit purposes. Manage the employee’s leave of absence in HRIS Enterprise/payroll system, Time and Labor system and Occupational Health Management system. Complete applicable state disability and/or paid family leave claims received. Administer all aspects of the LOA between the employee and third‑party vendors. Advise managers and HR Business Partners on potential issues and resolutions. Audit all LOA forms for signatures, approvals, completions and payment information. Keep informed of state leave laws, FMLA, ADAAA, HIPAA, WC and regulatory federal and state laws regarding leave of absence. Attend industry seminars and training classes to stay current with changes and best practices. Assist in updating LOA policies as necessary. Ensure compliance with company policies and federal/state/local reporting requirements, including FMLA, state leaves, ADA, HIPAA and Workers Compensation compliance. Knowledge, Skills & Abilities: Basic understanding of state leave laws, FMLA, ADA and Worker’s Compensation laws. Knowledge of compliance with documentation, tracking and determining FMLA eligibility. Self‑starter with strong work ethic and ability to exercise good judgment. Proactive, results‑oriented with strong attention to detail. Ability to effectively prioritize and manage multiple tasks to meet targeted deadlines. Good interpersonal skills with the ability to interact with personnel at all levels in a team environment. Good verbal and written communication skills. Demonstrated ability to resolve routine questions and/or issues as they arise. Education: High School Diploma or GED required. Experience: 1–2 years related experience in Leave of Absence Administration. Equivalency: Directly related experience or a combination of education and experience may be considered in place of the stated requirements. Work independently with little to no supervision. Handle semi‑routine assignments with occasional deviation from accepted practice. Knowledge, Skills & Abilities: High school diploma or GED required. 3–4 years of related experience in Leave of Absence Administration with working knowledge of applicable FMLA, state leaves, ADAAA and Worker's Compensation laws. Strong understanding of state leave laws, FMLA, ADAA, HIPAA and Worker’s Compensation laws and their impact on employer leave of absence. Decision‑making ability in approving leaves. Knowledge of all applicable laws and compliance with documentation, tracking and determining FMLA eligibility. Critical thinking, analytical and problem‑solving skills. Self‑starter with strong work ethic and good judgment. Proactive, results‑oriented with strong attention to detail. Ability to prioritize and manage multiple tasks to meet targeted deadlines. Strong interpersonal skills with ability to interact with personnel at all levels in a team environment. Strong verbal and written communication skills.
