The Clinical Education Coordinator (CEC) is a mission-critical administrative and operational support role that partners closely with the Director of Clinical Education (DCE) to ensure the effective execution of the PA program's clinical year. While the DCE retains responsibility for academic oversight, curricular alignment, site development strategy, and clinical decision-making, the CEC provides the essential administrative infrastructure that allows those responsibilities to be carried out efficiently, consistently, and in compliance with accreditation standards. This position manages the systems, processes, and administrative workflows that are essential to the delivery and oversight of the clinical phase of the program. This includes maintaining clinical education data systems, tracking student progression and compliance requirements, coordinating evaluation processes, and ensuring accurate, audit-ready documentation for accreditation. These responsibilities require ongoing management of high-volume, multi-site data and communication across students, faculty, and clinical partners. The accuracy and timeliness of these systems are critical to supporting program operations, informing decision-making, and maintaining compliance with accreditation standards. Essential Duties and Responsibilities All duties are performed in close collaboration with and under the direction of the Director of Clinical Education. Clinical Scheduling & Student Placement (Administrative Coordination)
Oversees and implements University academic programming and policy approval process. Reviews and analyzes existing programs to ensure compliance with institutional, state, and federal policies and regulations. Administers and evaluates the effectiveness of program achievements. Coordinates curriculum development, faculty affairs, and accreditation processes. May oversee core program components, curricula and/or instruction. Level Summary
Provides professional expertise to the University community. Serves as a resource and guide to others in the department and/or university. Completes operational tasks essential for the daily functioning of the University. Additionally, contributes to larger projects or initiatives that align with department or University goals, often collaborating across teams. Supervisory Responsibilities
May assist in mentoring or training new employees. Fiscal Responsibilities
No budgetary responsibility. May be responsible for validating transactions. Problem Solving

Requires a Bachelor's degree in a related field and 3-5 years of related professional experience, or equivalent education and experience. Preferred Qualifications

Clinical Scheduling & Student Placement (Administrative Coordination)
- Provide administrative coordination of the clinical rotation schedule as determined by the DCE.
- Enter, update, and maintain student rotation assignments and schedules.
- Maintain master rotation calendars and tracking tools.
- Assist with resolving scheduling conflicts, site changes, and logistical issues in coordination with the DCE.
- Serve as the primary administrative point of contact for rotation logistics for students and clinical sites.
- Build, maintain, and update clinical courses, rotations, and student assignments within eValue.
- Schedule evaluations and manage automated communications as directed by the DCE.
- Monitor completion of student and preceptor evaluations and follow up as needed.
- Generate routine and ad hoc reports to support student monitoring, program assessment, and accreditation documentation.
- Maintains clinical site data in the ARC-PA Program Portal
- Coordinate preceptor onboarding, credentialing, and re-credentialing processes.
- Maintain accurate, audit-ready records for preceptors and clinical sites.
- Track preceptor participation, site capacity, and required documentation.
- Support communication with clinical partners and escalate issues to the DCE as appropriate.
- Tracks affiliation agreement status and coordinate with appropriate institutional office to ensure agreements remain active and current.
- Track and monitor student compliance requirements across the clinical year.
- Maintain documentation and data required for ARC-PA accreditation, program review, and continuous quality improvement.
- Support preparation of materials for accreditation reporting, site visits, and internal audits under the guidance of the DCE and Program Director.
- Provide frontline administrative support to clinical year students regarding schedules, requirements, and deadlines.
- Track and document issues that may impact student progression and escalate concerns to the DCE.
- Assist with professionalism documentation and record maintenance as directed.
- The DCE and Program Director are responsible for academic, evaluative, and disciplinary decisions.
- Draft and disseminate routine clinical-year communications to students, faculty, and clinical sites.
- Maintain shared resources, tracking tools, and documentation to support continuity and transparency.
- Support clinical education meetings through agenda preparation, documentation, and follow-up.
- Support continuous improvement initiatives related to clinical education workflows and systems.
- Stay current with best practices in clinical education administration and accreditation expectations.
- Perform other duties as assigned in support of the PA program's mission.
