ROLE SUMMARY

We’re looking for a Project Manager with a strong background in event graphics, installations, and estimating. This role is critical in managing the full lifecycle of print-driven projects from estimating and planning through to execution and occasional onsite oversight. The ideal candidate is highly organized, client-focused, and comfortable coordinating with internal teams, vendors, and installers under tight deadlines. This position reports to the Director of Account Management.

ROLE EXPECTATIONS

Estimating & Planning

• Develop detailed estimates for projects based on client specs, materials, labor, and production timelines.
• Interpret creative briefs, renderings, CAD files, and artwork to scope production and installation needs.
• Collaborate with production, design, and fabrication teams to identify cost-effective solutions.
• Review and design production files to solve unique client expectations.

Project Management

• Oversee all stages of project execution: estimating, scheduling, proofs, production, and delivery.
• Manage multiple concurrent jobs with tight turnarounds and changing scopes.
• Maintain accurate documentation, timelines, and budget tracking throughout the project.

Client & Vendor Coordination

• Act as the main point of contact for clients throughout the project lifecycle. Kick-Off calls (TEAMS, Zooms etc…)
• Communicate clearly and proactively with clients regarding timelines, deliverables, and approvals.
• Coordinate external vendors, installers, and freelancers when required.

Onsite Oversight

• Attend installations as needed to ensure execution matches scope and quality standards.
• Serve as the liaison between clients, crews, and internal teams during setup and breakdown.
• Troubleshoot any onsite issues and ensure safety, venue rules and efficiency are maintained.

QUALIFICATIONS

• 3+ years in project management within print production, event production, or experiential marketing.
• Experience estimating wide-format print, graphics, or large-scale installations.
• Working knowledge of materials (vinyl, fabric, rigid substrates), hardware, and installation methods.
• Strong understanding of event production timelines and on-site coordination.
• Excellent communication and organizational skills.
• Proficient in project management and quoting tools (Excel, Trello/Asana, ERP systems, etc.).
