Billing & Reservations Coordinator

At Grand Hyatt Barcelona, one of the city’s newest luxury landmarks, we are looking for a detail-oriented and service-driven Billing & Reservations Coordinator to join our Reservations team. This role is responsible for managing reservation administration, billing processes, payment collection, invoicing, and financial follow-up related to guest bookings. Working closely with Reservations, Finance, Front Office, guests, travel agencies, corporate accounts, and third-party partners, you will help ensure accurate reservation management, timely payment collection, and a seamless guest experience. Key Responsibilities Process, modify, and cancel individual and group reservations in Opera Cloud PMS. Verify reservation details, rates, payment methods, billing instructions, and special requests. Manage deposits, prepayments, payment links, virtual credit cards (VCC), and billing arrangements. Follow up on pending payments with guests, agencies, and corporate clients. Generate and review invoices, refunds, and billing adjustments. Ensure accurate billing instructions, PM accounts, and folio management. Coordinate with Finance regarding payment discrepancies and outstanding balances. Respond to billing and reservation enquiries in a professional and timely manner. Maintain accurate records and guest profiles in Opera Cloud PMS. Support reporting related to arrivals, payments, and billing exceptions. Ensure compliance with hotel procedures, financial controls, and data protection standards. Qualifications Skills & Qualifications Previous experience in Reservations, Billing, Revenue Support, or Front Office within a hotel environment. Strong knowledge of Opera Cloud PMS. Understanding of hotel billing, payment, and invoicing processes. Excellent attention to detail and organizational skills. Strong communication and customer service abilities. Ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office, particularly Outlook and Excel. Fluent in English and Spanish; additional languages are an asset.
