Position Overview:

The Client Excellence Coordinator is a key support role that ensures our clients receive exceptional service and support throughout their engagement with our firm while providing administrative support to all team members. This role plays a crucial part in allowing our tax and bookkeeping professionals to focus on their core responsibilities. This is a full-time, in-person role (M–F) based in our Van Nuys office , with overtime hours during tax season. Tax season is 10 weeks and typically runs form February 1st to April 15th.

Key Responsibilities:

Client Service & Communication:

  • Serve as a primary point of contact for clients, ensuring a positive client experience
  • Answer and manage incoming phone calls through a busy multi-line phone system
  • Develop and maintain strong client relationships through regular communication
  • Assist in resolving client concerns and ensure timely follow-up before escalation
  • Coordinate and confirm client appointments for consultations and tax meetings
  • Review client-submitted documents and follow up regarding missing information
  • Maintain accurate and up-to-date client records and databases
  • Coordinate and oversee client onboarding to ensure a smooth transition into the firm
  • Collaborate with internal team members to ensure client expectations and deadlines are met

Administrative & Office Support:

  • Provide administrative support to partners, managers, and team members
  • Handle incoming and outgoing office correspondence and emails
  • Organize and maintain paper and electronic client files securely and efficiently
  • Assist with data entry, document preparation, and recordkeeping
  • Prepare, proofread, print, and bind finalized client documents
  • Process client payments accurately and in a timely manner
  • Prepare final invoices upon completion of work
  • Coordinate schedules and appointments across departments
  • Maintain confidentiality of sensitive client and company information

Skills & Qualifications:

Required Qualifications:

  • High school diploma or equivalent
  • Previous experience in a professional office environment
  • Experience working with a busy multi-line telephone system
  • Strong verbal and written communication skills
  • Excellent interpersonal and client relationship skills
  • Strong organizational skills and attention to detail
  • Ability to prioritize tasks in a fast-paced environment
  • Ability to work independently and collaboratively within a team
  • Proficient typing and computer skills

Technical Skills:

  • Microsoft Office Suite (Outlook, Excel, Word)
  • File-sharing systems such as Dropbox or SmartVault
  • General office equipment including scanners, photocopiers, and fax machines
  • Administrative and office management processes

Experience Requirements:

  • Excel: 3+ years

Job Details:

  • Job Type: Full-time
  • Location: In-person (Van Nuys, CA 91406)
  • Schedule:
    • Monday to Friday (8-hour shift)
    • 8 am to 5 pm (1 hour lunch)
    • Additional hours during tax season
  • Pay Range: $25.00 to $35.00 per hour (depending on experience and credentials)
