Position Summary Provides administrative oversight, business management, and program development for one or more practices. Works effectively with providers and other staff to develop and implement common priorities and goals related to providing optimal service, maximizing operational efficiency, ensuring financial viability, and rendering high quality health care services. Responsible for fostering a positive relationship with the patient population served, where applicable. Works in collaboration with the Medical Director(s) and other leadership in a matrix management team. Supervises all administrative and clinical support staff. Position: Practice Manager Department: BMC South Outpatient Schedule: Full Time Essential Responsibilities and Duties Work with the practices and the management team to develop and implement long‑ and short‑range business plans and meet regularly with appropriate clinical and administrative leaders. Analyze information, develop strategies to improve operations, enhance service delivery, and implement changes in conjunction with the management team. Act as liaison with other hospital departments to resolve operational problems. Support the full life cycle of employees, including setup of new clinical providers and staff. Develop practice performance standards, monitor performance against those standards, and prepare and implement corrective steps. Produce management reports to measure provider productivity, assess patient demand, determine patient satisfaction, and evaluate operational effectiveness. Oversee practice‑related revenue cycle needs and generate patient assignments as applicable. Control purchase and distribution of supplies, maintain inventory systems, and procure cost‑effective purchases with vendors. Attend management meetings and other hospital committees as required. Chair and circulate agendas for monthly meetings with all practice personnel, prepare follow‑up work plans, and monitor completion of identified projects. Communicate BMC and/or practice priorities and essential information to staff regularly. Coordinate the use and assignment of office and examination space to maximize physical space utilization. Create and maintain Policy and Procedure Manuals. Customer Service and Patient Access Ensure that practices provide care that meets or exceeds patient care standards. Seek patient feedback and take immediate steps to respond to complaints. Ensure staff responds promptly and appropriately to customer needs and maintains confidentiality. Develop and maintain the clinical coverage schedule and monitor schedules to ensure efficient patient flow. Prepare special and periodic reports and implement strategies to improve patient access. Fiscal Management Oversee registration processes, training, and billing functions. Monitor staff adherence to policies, supervise insurance eligibility verification, execute quality audits, and resolve errors. Ensure billing third‑party payer requirements are met, monitor production reports, maintain compliance with corporate protocols, and prepare accounts receivable reports. Supervise charge entry, monitor billing edit reports, and implement revenue capture processes. Participate in development of the annual operating and capital budgets and monitor expenditures for budget compliance. Identify opportunities to increase patient volume and services while controlling expenses. Human Resource Management Participate in hiring, discipline, and off‑boarding of clerical support staff within hospital policies. Assess staffing levels and make recommendations for additional staffing or role changes. Monitor training needs, develop annual plans, and arrange training. Complete timely performance reviews and provide feedback; develop performance improvement plans. Review schedule changes, resolve HR issues, and maintain payroll and absenteeism documentation. Facility Management, Regulatory Compliance, Program Planning, and Quality Improvement Coordinate housekeeping, maintenance, and repairs; ensure equipment and furnishings are kept in good condition. Develop and implement plans for practice expansion, coordinate construction and moves, and work with architecture and contracting teams. Participate in quality assurance activities, lead continuous quality improvement efforts, and implement quality assurance standards. Ensure compliance with federal, state, local, and regulatory standards, including the Joint Commission. Resolve significant patient complaints and report them to the Patient Advocate or Director of Quality Improvement. Other Develop and implement marketing strategies, represent practices at community events, and coordinate physician participation in community health activities. Perform other duties as assigned. Job Requirements Required Education and Experience Bachelor’s degree and 5‑7 years of experience in a healthcare business environment with at least 3 years of management and budget experience (or equivalent combination of education and experience). Preferred Education and Experience Master’s degree in Healthcare Administration, Business Administration, or related field strongly preferred. Certifications, Licenses, Registrations None required or preferred. Knowledge, Skills & Abilities Collaborative teamwork in a medical matrix environment; ability to represent medical services needs and work with multiple physicians. Comprehensive knowledge of clinical operations, hospital financial and human resources policies and procedures. Excellent understanding of reimbursement and regulatory requirements. Strong interpersonal skills; ability to mentor, guide, and motivate direct reports. Prioritization and project management skills with ability to deliver results. Proficiency in personal computer tools (healthcare information systems, word processing, spreadsheets, presentations). Excellent oral and written communication skills. Critical thinking, analytical, and problem‑solving skills.
