Events and Conferences Specialist

We are seeking an Events and Conferences Specialist to own the end-to-end planning and execution of Xceedance's presence across the industry events calendar. This role manages our participation in events and conferences and also leads the full lifecycle of proprietary Xceedance-hosted events. The ideal candidate is a hands‑on project manager and a detail-oriented professional who can translate marketing objectives into memorable, high‑impact event experiences that generate pipeline and strengthen brand presence. What You’ll Be Doing Develop and execute the overall Events and Conferences strategy aligned to marketing and business development goals. Manage end-to-end planning and execution for industry events Xceedance sponsors and exhibits at including booth design, logistics, vendor coordination, staffing, and on-site management. Lead the complete lifecycle of Xceedance-owned events aligned to business development priorities — from concept, budgeting, and venue selection through agenda development, speaker coordination, promotion, execution, and post-event follow-up. Own event budgets, track spend against forecast, and ensure cost-effective allocation of resources across the events portfolio. Coordinate with executive leadership and Office of the CEO on high-priority client and company events Partner with sales and business development teams in defining event objectives, drive attendee engagement, and ensure effective lead capture and handoff. Coordinate across marketing, design, and content teams on collateral, branding, messaging, and promotional campaigns supporting each event. Negotiate and manage relationships with venues, vendors, agencies, and sponsorship partners. Report on event KPIs including lead generation, pipeline influence, and ROI, and apply learnings to continuously improve outcomes. Maintain the master events calendar and manage timelines, deliverables, and stakeholder communications across concurrent events. What You Bring Bachelor's degree in Marketing, Communications, Business, Hospitality, or a related field. 4+ years of experience in corporate event management, conference planning, or field marketing, including ownership of both sponsored/exhibited events and proprietary events. Demonstrated ability to manage multiple complex events simultaneously while meeting deadlines and budgets. Strong project management, vendor negotiation, and stakeholder coordination skills. Excellent written and verbal communication skills. Proficiency with event management platforms, CRM tools, and marketing automation systems.
