Responsibilities

The Fleet & Logistics Coordinator is responsible for ensuring accurate delivery execution, efficient yard coordination, comprehensive asset tracking, preventative fleet maintenance, and DOT compliance across the organization. This role acts as a key liaison between yard operations, dispatching drivers, inventory, and field teams to improve operational flow, visibility, and performance.

Additionally, this position oversees internal equipment maintenance, directly managing the diagnostics, troubleshooting, and repair of the internal fleet, trailers, and small tools to ensure all assets are safe, reliable, and field-ready. The position focuses on continuous process improvement, standardization, and the elimination of equipment downtime to support scalable logistics operations.

• Reports To: Director of Fleet & Logistics
• Salary Range: $70,000 - $80,000 with an opportunity for a 10% bonus

Key Responsibilities

Yard Operations & Delivery Coordination

• Workflow Management: Collaborate daily with yard operations across multiple shifts to ensure smooth and efficient material flow for deliveries. Identify and eliminate bottlenecks in loading, unloading, and job staging.
• Dispatch Support: Support and help optimize daily and next-day delivery planning processes while establishing standardized delivery planning procedures and checklists.
• Dispatch Readiness Validation: Validate job, material, equipment, trailer, and truck readiness.
• Driver Communication: Ensure clear and consistent communication of routes and expectations to drivers; follow structured driver confirmation and check-in processes.

Fleet Equipment Repair & Diagnostics

• Mechanical & Electrical Repair: Diagnose and repair mechanical, hydraulic, and electrical issues across trailers, small engine equipment (e.g., demo saws, core drills), generators, and field units.
• Component Replacement: Replace worn or defective components such as starters, pins, core drill pins, hydraulic lines, Moffett loader electrical systems, truck wiring, and trailer lights.
• Advanced Troubleshooting: Use diagnostic tools to identify failures, interpret technical manuals/schematics, and determine efficient repair plans for smaller shop and field assets.
• Outsourced Maintenance Liaison: Coordinate with leadership to determine which assets can be serviced internally versus large, heavy equipment that should be outsourced to dealers or managed through lease agreements.

Preventative Maintenance & Compliance

• PM Scheduling: Perform and schedule routine, disciplined inspections on trailers, towing systems, and small equipment to identify underlying faults and prevent costly field breakdowns.
• DOT & OSHA Compliance: Maintain strict compliance with DOT regulations, OSHA safety standards, and company policies for all drivers and handled assets.
• Documentation & Records: Oversee driver files, MVRs, pre-trip inspections, vehicle records, and proper storage of Bills of Lading (BOLs). Track detailed repair histories and maintenance records.

Asset Lifecycle Management

• Tracking & Visibility: Oversee tracking and accountability of all vehicles, trailers, equipment, and tools utilizing asset tracking technology and structured check-in/check-out processes.
• Parts Inventory: Maintain a clean shop parts inventory and proactively order replacement parts to minimize repair delays.
• Lifecycle Assessments: Perform cost/repair vs. replace assessments for aging assets, helping prepare units for resale, decommissioning, trade-in, or retirement.
• 3PL Coordination: Assist in managing relationships with third-party logistics providers and brokers; coordinate external freight and hotshot deliveries as needed.

Success Profile (First 90 Days)

• Workflow Mastery: Gain a comprehensive understanding of existing workflows within Monday.com, job site equipment requirements, and delivery procedures.
• Backlog Elimination: Drive measurable improvements in fleet readiness by systematically clearing the existing backlog of broken, down, or lagging equipment and keeping the backlog clear.
• System Standardization: Follow standardized procedures and communication protocols covering asset tracking, dispatch, equipment maintenance needs, and check-in/out procedures.

Qualifications

Required:

• Experience: 5+ years of experience in fleet operations, logistics, supply chain coordination, or construction equipment/industrial maintenance.
• Technical Skills: Strong experience diagnosing and repairing small engines, diesel engines, hydraulics, trailers, and electrical troubleshooting (trailer wiring, lights, equipment).
• Operational Knowledge: Solid understanding of yard operations, dispatch processes, asset tracking, and DOT compliance requirements.
• Equipment Proficiency: Ability to operate a forklift and utilize standard diagnostic equipment, hand tools, and power tools.
• Documentation Literacy: Ability to read and interpret technical manuals, schematics, blueprints, and equipment specifications.
• Education: High School diploma or equivalent.

Preferred:

• Technical certification in mechanical, electrical, automotive, or diesel technology.
• Experience implementing or working extensively with fleet logistics, asset tracking, or dispatch software systems.

Physical Demands & Environment

• Setting: A combination of office work and hands-on shop/yard-based work with exposure to equipment and varying weather conditions.
• Physical Effort: Must be capable of lifting 80-100 lbs with or without assistive devices, alongside frequent bending, pushing, pulling, and working on equipment.
• Safety: Strict adherence to company and contractor safety rules, including mandatory use of required Personal Protective Equipment (PPE).
