Education Qualifications

• High school diploma or GED equivalent.

Experience Qualifications

• Min 3 years of healthcare experience required.
• Experience with insurance verification, prior authorization, and electronic medical records required
• Experience with Electronic Medical Record (EMR) systems
• Experience with Scheduling and registration systems
• Microsoft Office Suite (Outlook, Word, Excel, Teams) experience
• Multi-line telephone systems experience
• Fax, scanning, and document management system experience
• Surgery scheduling and care coordination experience
• Strong customer service and patient communication skills
• Ability to manage multiple providers and competing priorities simultaneously

Responsibilities: Surgery Scheduling and Patient Coordination

• Schedule surgical procedures and related appointments in accordance with provider preferences, OR availability, and departmental guidelines.
• Serve as the primary point of contact for patients throughout the surgical scheduling process.
• Coordinate surgical cases with providers, operating room scheduling, Patient Financial Clearance, Pre-Anesthesia services, and patients to support timely case completion.
• Provide surgery-related instructions, appointment information, and respond to patient inquiries.
• Monitor case readiness and follow up on outstanding requirements as needed.

Administrative Tasks and Documentation

• Manage a high volume of calls, messages, and electronic correspondence related to surgery scheduling.
• Document scheduling activities and patient communications in the electronic medical record.
• Maintain provider surgical schedules, case tracking tools, and scheduling work queues.
• Process surgical forms, outside records, and required documentation to support case progression.

Communication and Coordination

• Collaborate with surgeons, APPs, nursing staff, OR schedulers, Patient Financial Clearance, Pre-Anesthesia services, and ancillary departments.
• Communicate scheduling changes, cancellations, urgent requests, and provider preferences to appropriate stakeholders.
• Resolve scheduling conflicts and escalate complex issues through established workflows.

Service Line-Specific Functions

• Coordinate surgical case scheduling and ensure required information is submitted to supporting departments for financial clearance and pre-operative readiness.
• Support multiple providers and surgical specialties while maintaining accurate and efficient scheduling workflows.
• Assist with management of provider operative schedules and surgical block utilization.
