Opportunity

We are seeking a highly organized, dependable, and proactive Director of Operations to support the day-to-day operations of our Alexandria office and coordinate administrative and operational responsibilities across the company. This role works closely with company leadership to maintain effective processes, organized documentation, and smooth business operations.

Branded Realities is a technology and experiential engagement software company creating innovative digital experiences for sports, entertainment, and brand partners.

Key Responsibilities

Business Operations & Leadership Support

• Coordinate with company leadership on operational priorities, projects, and outstanding action items.
\n
• Help maintain annual company calendars and coordinate internal team meetings, agendas, and follow-up.
\n
• Document company processes and maintain transition documents and internal reference materials.
\n
• Maintain working knowledge of EOS.
\n

Contracts, Corporate Records & Board Support

\n
• Manage contract administration, including preparation, DocuSign routing, signature tracking, execution, and filing.
\n
• Maintain organized records of NDAs, corporate documents, cap table information, and other business agreements.
\n
• Coordinate board meetings and prepare agendas, presentations, supporting materials, and meeting records.
\n
• Coordinate the preparation, organization, and distribution of financial and other confidential business documents.
\n

Financial & Purchasing Administration

\n
• Coordinate purchasing, expense documentation, receipts, invoices, and vendor payment administration.
\n
• Assist with check preparation and organize financial records and supporting documentation for review and approval.
\n
• Follow established authorization procedures for purchases and payment-related requests.
\n
• This role does not include cash flow management, financial forecasting, or independent financial decision-making.

HR, Insurance & Team Support

• Coordinate HR administration, including onboarding, offboarding, training reminders, employee documentation, and Rippling-related matters.
\n
• Coordinate company insurance administration, including renewals, applications, certificates, broker communications, and outstanding requirements.
\n
• Maintain confidential records and coordinate with leadership and service providers on HR and insurance matters.
\n
• Support team culture through internal communications, employee engagement, and company activities.
\n

Office, Municipalities & Systems Administration

\n
• Manage office supplies, inventory, deliveries, vendors, maintenance requests, visitors, and incoming and outgoing mail.
\n
• Coordinate municipality-related matters, including government correspondence, permits, registrations, documentation, deadlines, and follow-up.
\n
• Maintain organized digital records and support the administrative use of company systems, including Google Workspace, Microsoft Office, Slack, Rippling, DocuSign, and cap table management platforms.
\n
• Assist with special projects and other operational needs as assigned.
\n

Qualifications

\n
• 3–5 years of experience in operations, office administration, or business coordination.
\n
• Strong organizational, communication, time-management, and follow-through skills.
\n
• Proficiency with Google Workspace, Microsoft Office, and business collaboration tools.
\n
• Familiarity with Slack, Rippling, DocuSign, and cap table management platforms preferred.
\n
• Experience with contracts, confidential documentation, vendors, or meeting coordination preferred.
\n
• Working knowledge of EOS preferred.
\n
• Ability to manage multiple priorities, exercise sound judgment, and handle confidential information with discretion.
\n
