Communications Budget Coordinator

The Finance & Purchase Order Coordinator plays a key role in supporting Advertising and Promotional spend within a luxury retail organization. This position partners closely with Finance, Marketing, Procurement, Accounts Payable, and external vendors to ensure accurate purchase order management, budget control, and strict adherence to corporate governance and compliance standards. Precision, discretion, and attention to detail are essential in supporting a premium brand environment. Key Responsibilities Create, manage, and reconcile Non‑Stock Purchase Orders (NSPOs) for advertising, marketing, and promotional initiatives, ensuring accurate financial coding and alignment with approved budgets. Ensure all POs comply with corporate sourcing policies, vendor onboarding requirements, contract execution, and internal approval workflows. Partner with Accounts Payable to resolve PO mismatches, invoice holds, receiving discrepancies, and payment delays in a timely manner. Maintain detailed budget trackers for marketing and promotional expenditures, updating regularly to reflect commitments and actuals. Proactively identify and flag budget variances, missing documentation, or potential compliance risks. Liaise with vendors and internal project owners to follow up on payment status, outstanding invoices, and documentation requirements. Coordinate month‑end close activities, including accruals and reclassifications for invoices and corporate card expenses. Provide clear, accurate reporting and status updates to finance leadership and cross‑functional stakeholders as needed. Manage vendor setup and updates using platforms such as Ariba and DocuSign, ensuring compliance with corporate policies and audit standards. Navigate ERP and financial systems (e.g., SAP) to support accurate reporting and operational efficiency. Contribute to ad hoc finance and operational initiatives that support business priorities within a fast‑paced luxury retail environment. Core Competencies Professional written and verbal communication, with confidence following up internally and externally while representing a luxury brand. Ability to manage multiple deadlines, particularly during peak campaign activity and month‑end close. Detail‑oriented with the ability to identify issues early and elevate appropriately. Qualifications Minimum of 2 years of experience in accounting, finance operations, or financial analysis, preferably within luxury retail, consumer goods, or corporate environments. Bachelor’s degree required or equivalent professional experience. Strong analytical skills with comfort working with figures and resolving discrepancies. Advanced proficiency in Microsoft Excel and a strong working knowledge of financial systems and ERP platforms (e.g., SAP). Excellent organizational skills and ability to manage sensitive financial information with discretion.
